Instructor Participation Guide

Teachers have a particular set of responsibilities concerning the partnership between them and the CiHS program.

  1. Follow CWU policy.
  2. Communicate effectively and regularly with CiHS office staff and your liaison.
  3. Adhere to FERPA and other state or federal guidelines and laws.
  4. Read and understand the Instructor Participation guide online (or request a printable pdf of the Instructor Handbook from the CiHS office).

Documents and hand-outs which will be helpful in your classroom are available at Instructor Forms

One vital task for teachers is informing your students. Studies show that students learn about dual enrollment opportunities mostly from their teachers or friends. Please make use of our web links and the publications available, and share material with your classes so your students can be informed about their opportunity. Provide the links to them and their families, especially Student Participation Guide.

Please find specific information and additional links below under each topic:
  • Adjunct Instructor Application Process

The application portal is now open. Initial training and ongoing professional development are among the requirements. For comprehensive details: Instructor Application Process

  • Offering a New Course

If there is a course that we currently do not offer, and you would like to see if it is possible, please contact our office at (509) 963-1351 or email hspartnerships@cwu.edu. See a comprehensive list at Course Offerings or find a printer-friendly version in General Forms.

  • Academic Liaison Support

Every instructor is partnered with a CWU academic department liaison, to ensure instructional quality and adherence to CWU learning outcomes are maintained. Teachers engage with their Liaisons in professional development and the Liaisons conduct site visits.

Teachers are responsible for these items with their Liaison:

    1. Work with their CWU liaison to create a syllabus that meets all of NACEPs syllabus requirements for every course taught.
    2. Work with their CWU Liaison on how to meet their specific course outcomes/learning objectives.
    3. Work with their liaison to select a textbook (if required by the discipline) that reflects current information relevant to the discipline. The high school is responsible for purchasing the course textbooks.
    4. Meet with their CWU Liaison during the academic year. Coordinate a time with their liaison to have their class observed. After the observation have a follow up meeting about the observation.
    5. Attend annual Summer Institute (First year adjunct faculty must attend the Summer Institute prior to their first year, and at minimum, every 3rd year after their first year. Attending Summer Institute yearly is not required but highly recommended).

See "Liaison Contact Information" or find a printer friendly version in Instructor Forms.

  • Syllabus Requirements

A syllabus for every class is required. One must be uploaded to the CiHS registration platform, for each class, every term.

    1. Work with your liaison to create a syllabus that meets all of NACEPs syllabus requirements, and CWU course outcomes and learning objectives.
    2. Sample syllabi are available to provide guidance. Let us know what academic subject and we will provide that for you.
    3. Each syllabus must be updated for each class every term. For example, Math 153 in fall term, and Math 154 in spring term each have their own syllabus, not one syllabus for the year for Math 153 and Math 154.
    4. Students must receive a copy of the syllabus at the beginning of each term.

See "Syllabus Template" in Instructor Forms. Upload a pdf in cihs.cwu.edu (registration platform) under "My Classes" > select class > Syllabus tab

  • Before Registration: Deadlines, Testing and Prerequisites

Registration through the CiHS online registration portal is only possible until the stated deadline. Schools that are on different terms (Semesters, Trimesters, Quarters) have different deadlines, which are firm. See All Deadlines

Eligibility of students often depends on prerequisites, which may include previous college coursework (e.g. passing Precalculus with a C or better, before being able to enroll in Calculus) or acceptable placement test scores. For a complete list of courses and their prerequisites, see "Course Descriptions and Prerequisites" in General Forms

Students should be eligible for the course (i.e. prerequisites are already met) before they register. Check in with your school counselor.

Some College in the High School classes require certain placement test scores in order for students to be considered ready to take them. See: Testing Information

Your school's Reviewers will be adding this documentation to the student account in the online registration system.

  • Student Registration Process

For a smooth and complete registration process, please follow the link to additional instructions to prepare your students for online registration, checking rosters and adding syllabi. CiHS Registration Process

It's critical that teachers inform their students/families and then monitor the process which prevents errors, late registrations, and missed opportunities. Watch your roster in cihs.cwu.edu in real time.

Please see appropriate Instructor Guide to Online Registration information at the Forms link, in the Instructor accordion.

Late Registration Requests are not accepted through the online portal. Late Registration Requests must be complete when submitted by the school through email before the deadline. See Late Registration Request.

After your registration window closes and all your eligible students are processed and enrolled teachers will receive an email asking them to confirm their roster in cihs.cwu.edu. It is wise for the teacher to also check their official permanent records on their class roster in their faculty MyCWU.

  • Faculty MyCWU and Multi-Factor Authentication

In a teacher's MyCWU account, instructors will confirm their official roster and then enter grades at the end of the term.

Their cihs.cwu.edu registration platform is linked to their official MyCWU account. Single sign-on means you have the same username and password for both accounts. Be sure your MyCWU account is up to date to prevent hiccups when logging into your cihs.cwu.edu platform.

Passwords for MyCWU need to be updated every six months.

Multi Factor Authentication (MFA) is required for MyCWU and certain platforms which are linked to it, such as Canvas. This currently applies to teachers and students.
MFA provides a higher degree of security and safety for your account and information. To learn more, please see MFA. For instructions to set up MFA on your computer/phone, please see MFA Set-Up. Additional information is outlined on the MFA Frequently Asked Questions website.

We are happy to help you if you have lost your ID number or username for logging in, but if you have any issues logging into your MyCWU account or setting up MFA, please contact the CWU Servicedesk (IT Helpdesk). They are available to help on the phone or by email Monday - Friday, 7:00 a.m. to 5:00 p.m.

  • Rosters and Entering Grades

Instructors need to watch their roster in the CiHS Online system while registration is happening to prevent avoidable mistakes. You can watch, in real time, the status of each student: who has applied for your course, who has parent consent, who is approved, etc. You can check on who is missing and give reminders. All students at the status of Registered will be fully enrolled, and then show on your official MyCWU faculty roster.

While the CiHS Online registration system is linked, teachers still need to access their Faculty MyCWU account to enter grades.

Please go to Instructor Forms for a graphic Grading Guide to help you once you're in MyCWU. Be aware, you won't have access until your class is in session.

Instructors may occasionally need to submit a Change of Grade form or issue an incomplete. More thorough information is available on the Rosters and Grades page

    Grading Deadlines 2023-24

  • Drop and Withdrawal Policy & Deadlines

It is the high school's responsibility to communicate with CWU CiHS when a student withdraws. When a student no longer in a CWU course in the high school, a withdrawal can be processed in the cihs.cwu.edu registration system by the teacher or counselor/reviewer.

Teachers submit a withdrawal request in cihs.cwu.edu upon a student's request.

A withdrawal or drop does not affect a student's CWU grade point average.

Be aware, withdrawing does not dismiss any class fees associated with the course, if applicable. The charges will remain and the student or school will continue to receive invoices until the balance is paid.

Please see complete information about Drop and Withdrawal Policy and Deadlines

  • Professional Development: Summer Institute

All College in the High School instructors are required to participate in program and discipline orientation and professional development, known as Summer Institute (SI).

Newly approved teachers must attend Summer Institute prior to teaching, and veteran teachers must attend every three years (at minimum).

Teachers with approval for multiple disciplines need to attend one SI day for each discipline, every third year or more often.

School and district administrators are encouraged to attend.

Continuation of above.
  • Absence/Long Term Leave

When a high school adjunct resigns, retires, takes a leave, or is no longer teaching with the district, the high school must contact the High School Partnerships office promptly.

If an instructor becomes unable to teach for any reason and will be out of the classroom for more than ten consecutive instructional days, the school/district/instructor must contact the High School Partnerships office. If no qualified (CWU’s minimum qualifications) replacement can be found, the course will be cancelled. Central understands the challenges of transition and we will work to support you in this process.

  • Instructor Compliance

If an instructor fails to comply with any of the High School Partnerships instructors’ responsibilities, he or she will first be notified of their non-compliance in writing. If the instructor continues to be non-compliant, a warning letter will be sent to both the non-compliant instructor, the principal of the high school, and the school district's Point of Contact, found on the Interlocal Agreement.

  • Student Evaluation of Instruction

Near the end of every class term, all enrolled CiHS students have an opportunity to respond to a survey called Student Evaluation of Instructor (SEOI). The SEOIs are completely anonymous, the teachers will not be able to know who submitted answers or connect any answers to a particular student.

This evaluation is beneficial both to the teacher, who can change and improve their teaching, and to the CWU CiHS program to help us deliver a better university class experience to high school students. It is part of the important information required by NACEP for accreditation.

Students MUST activate their MyCWU account in order to participate. The link to the survey will be emailed to the students email on their registration.

Instructors will receive an email letting them know when SEOIs will begin and end for each term. An instructor must have logged in an activated their @cwu.edu account in order for their class to be part of the SEOI distribution.

For in-depth information regarding SEOIs for your students, please go to SEOI Information.

If you would like to see a sample SEOI, please let us know.
