Application and Admission

Step 1: Nomination
Exchange students must be officially nominated by their home university coordinator via email to Steve Cook, Associate Director of Education Abroad.

Step 2: Exchange Student Application
Students should submit the application materials listed below as PDFs to Steve Cook via email.

Step 3: Letter of Admission, Housing Selection & Welcome Packet
Once students’ admission is complete, they will receive an electronic Welcome Packet, including their Letter of Admission, DS-2019 and other important information. Students should read the information carefully, as it will contain guidance on important next steps such as activating CWU network credentials, selecting housing and scheduling arrival to CWU.

Step 4: Plan of Study
Students inform CWU Education Abroad of their preferred classes for their first term by submitting the Proposed Plan of Study form. The Exchange Coordinator will use the information to register on your behalf. More detailed advice on course selection and registration may be found in the next page of this guide.
However, the Proposed Plan of Study is not required for either admission to CWU or the immigration process; moreover, the timetables will not be updated and registration permitted for several weeks following nomination. Therefore, students may wait until after admission to submit their course choices if they wish.

Application Materials and Deadlines

1) International Exchange Student Application
Nominated students should access and complete the web-based International Exchange Student Application as soon as possible following nomination. This is required for admission to CWU, and admission is required to establish CWU network credentials and complete on-campus housing selection. Instructions for accessing the application are below.
First Action: Account Set-Up
- Navigate to the site linked below.
- Click “Sign Up”.
- To set up your account, use the email address your home university gave in its nomination. This will help us verify your identity. You will have the opportunity give us an alternate email address within the application itself.
- Create and confirm a password.
- Must contain at least 8 characters (12 or more is recommended)
- Must contain at least one capital/uppercase letter.
- Must contain at least one of these special characters: !“#$%&'()*+,-./:;<=>?@[\]^_`{|}~
- On the following page, click “Next”.
- Click “Create Account” Button.
- Click “Enter”.
- You may ignore the prompt to complete the intake form.
Second Action: Completing the Application
- Navigate to this link: https://cwu.via-trm.com/program_brochure/29189/term-information.
- In the top-right, click “Sign In/Sign Up”.
- On the next window, find “If you do not have a Central Washington University login:” and click the “Sign In” link next to it. DO NOT click the button that appears.
- Enter your email and your chosen password. Click “Sign In”.
- Read the Terms of Use and Privacy Policy, if you choose. Check the box, and then click “Next”.
- You will be returned to the program brochure page. Click “Apply” at the top-right.
- Choose the first term you will be at CWU. Click “Start Application”.
- Answer the questions and upload the documents requested. These documents are explained below.

2) Passport Photo/Information Page
Please scan the photo/information page of your passport (PDF format) and submit it with your application form. This document is required for admission.

3) Official Transcript(s)
Please send official, English-language transcripts for the home institution and any others the student may have attended previously. If classes currently in progress do not appear on the transcript, please submit an additional list of those classes.

4) Proof of Language Proficiency
Non-native speakers of English must submit proof of sufficient English language proficiency alongside their application form for admission. Consult the International Student Admissions page for acceptable methods and levels for demonstrating proficiency, as well as countries of origin exempted from this requirement.
Additionally, all students--regardless of citizenship--from the following exchange partners are exempt from this requirement:
- Edinburgh Napier University
- Queensland University of Technology
- University of Dundee

5) Proof of Financial Responsibility
Non-US citizens must submit the Proof of Financial Responsibility Form (downloadable from the online application system) in order to receive the DS-2019 Certificate of Eligibility, itself required to obtain the J-1 Exchange Visitor Visa. Students must download and complete and sign it by hand. If a parent or guardian is providing financial support, they must sign the form, as well.
Students must submit supporting documents verifying access to the amounts listed on the form The type of documents required will depend on the source(s) of students' aid. Examples include those listed below, and students should submit all that apply.
- Student bank statement or bank letter verifying sufficient funds
- Parent bank statement(s) or bank letter(s) verifying sufficient funds (if providing financial support)
- Proof of scholarship award
- Proof of loan award
This information is not necessary for admission to CWU and is not absolutely required to accompany the exchange application. However, if not submitting them with the application, we recommend submitting the documents as soon as possible afterward to minimize delay in applying for a visa.
Students holding or elgible for US citizenships are ineligible for the J-1 visa and exempt from this requirement.

Submission Deadlines
Fall Start: 1 May
Winter/Spring Start: 1 OctoberThese deadlines are somewhat flexible, and accommodations may be available as needed. Only Items 1-4 are required for admission to CWU and should be completed as quickly as possible in order to allow students access to the housing contract system. Item 5 is required before the DS-2019 can be generated.
