Primary Computer Replacement Program – Administrative Divisions (9-15-25)
Procedures:
1. Computer Support Services will identify “primary” computer replacement eligibility based on employment status and age of computer. Data will be pulled from the MyCWU (PeopleSoft) asset management and HRIS modules to determine eligibility status. Information Services-Computer Support Services (IS-CSS) will only be replacing primary computers in the Administrative Divisions (Finance and Admin, President’s and Student Engagement and Success). Primary computer definition: A computing device used by one and only one permanent employee more than 50% of the time they are working on a computer.
2. After eligibility is determined, Computer Support Services will submit a “Primary Computer Replacement Program” ticket on behalf of the qualifying custodian. Note: The new “Primary Computer Replacement Program” ticket form will include the tag number of the computer being replaced and the tag number of the university provided “primary” computer.
3. After the ticket is created, CSS technicians will work with the designated custodian to schedule a time to deploy the new computer, transfer any required data, and pick up the old computer for processing. CSS technicians will help identify cables needed to connect monitors to the new computer, install specialized software and assist with requested data transfers. Note: If the computer being replaced is still serviceable (Windows 11 capable), it will be placed in a recycled inventory so it can be redistributed as secondary or shared computer.
4. Computing asset inventory records will be updated in MyCWU (PeopleSoft) to document custodianship, use designation, and location changes. IS-CSS will utilize the Computer Asset Transfer Form to document the changes and provide updated asset data to CWU Property Management. The Computer Asset Transfer Form will be used until an automated process is developed.
5. When a primary computer reaches 4 years old or older, CSS technicians will contact the custodian and repeat steps 2 – 4.
Important Note: The “Primary Computer Replacement Program” (PCRP) is available for CWU Administrative Divisions. The PCRP will be available to Academic Affairs when the Computer Inventory Reconciliation Project is completed, target completion date of 12/31/25.
