1. Building Security

Classrooms and Shops

Many rooms in the theatre building are kept locked when not in use. When leaving a room, particularly the shop areas, make sure tools are put away with the door and cabinets locked. If a door was locked before entering an area, please lock it when leaving.

Rehearsal Spaces

During the rehearsal process and through the run of the show, the last one out of the building is the Production Stage Manager (PSM). It is the PSM’s job to ensure that all doors are locked, the lights are out, and the building is secure. Cast and crew members are requested to assist the PSM with this responsibility by leaving the building promptly and exiting only through the designated doors.

General Information

Please refrain from opening windows in the building, as it interferes with building climate control and is a security risk. . This includes windows in the Lighting and Sound Control Booths of both theaters. If you spot suspicious persons lurking around the building, particularly at odd hours, notify a faculty or staff member, or call Campus Security at 963-8534.

Building hours and permission slips

McConnell Building hours for all students are from 600 a.m. to 1100 p.m. daily, during the quarter. Generally the Building Northeast doors are the doors left open after office ours and during breaks. Students must have permission slips signed by the Chair prior to any event that requires them to be in the building after regular hours. Anyone found in the building after hours must have either a student ID card or Theatre Major Card as well as a building pass or they will be turned over to campus security and charged with trespassing.

2. Keys

Keys to the building and designated rooms will be issued upon receipt of a “KEY REQUEST CARD” which has been signed by the chair. No other students will have keys to the building. Loss of keys or failure to return keys at the end of each quarter (or when requested to do so) will result in a significant fine [issued by the Lock Shop], hold on the student’s account and may result in loss of key privileges in the future.

The following students may be issued keys by written request (sent to the chair) from a Shop Head or Instructor of Record:

  • Members of a show stage management team Stage Managers and Assistant Stage managers
  • Theatre Club Officers (at the club faculty advisor’s request)
  • Shop employees
  • Run Crew Heads
  • Being a holder of department keys is a trust granted by the faculty to individual students. Use of keys are not for personal use or your friends use.

3. Building Lights

When the building is open, hall lights must be left “on”. When the building is locked, hall lights should be turned “off”. Emergency lights, stage “ghost lights” and EXIT signs should be “on” at all times. Whenever the Tower is used in the evening, lighting for the stairways is the responsibility of the stage manager or professor overseeing the evening event. Report burned out lights to the Technical Director or Department Secretary.

4. Bicycles, Roller Skates, and Skateboards

Bicycles are not permitted in the building, but should be locked up in the bicycle racks provided on both sides of the building. In compliance with Campus Safety Rules, avoid locking bikes to building stair railings or trees. Roller skates and skateboards may not be used/ridden in the building, but may be stored in lockers.

5. Department Office Equipment

Equipment Use

Being state property, office equipment is not permitted to be taken from the theatre building. The use of office equipment for students’ scenes plays or class work is not permissible. Use equipment in the library, SURC, etc.

Copy Machine

Use of the copy machine by students is not permissible unless it is part of a scheduled directing project and authorized in writing by faculty or staff. Stage Managers and Assistant Stage Managers may use the Publicity Office Xerox for production needs only.

  • Telephones Please use the campus phone next to the Tower Theatre elevator, for outside or campus calls (dial 66+ number).

6. Rehearsal Furniture

  • Rehearsal furniture and rehearsal cubes are painted black or gray, aluminum chairs and step units and are located in the Tower Theatre (201), Studio 119(McConnell), Studio 122 (Hertz), and Studio 118 (Hebeler). Rehearsal furniture and cubes are to be put away neatly after each rehearsal. Stage managers and directors of scenes or plays are responsible for the return and storage of all rehearsal supplies. Please leave them in the assigned room in order that other students have full use of the furniture.

7. Pets and Animals

Other than for appearances in production and service animals, animals are not permitted in the theatre building.

8. Theatre Shops

Shop use

The Costume Shop, Lighting Shop, Puppet Studio, Scene Shop, Publicity Lab, and all storage areas for costumes, scenery, lighting, and properties are designed for department-related production work. However, if time and space permit, work on small personal projects may be allowed if the user supplies all materials, time and space allow such projects, and the shop is supervised by the responsible faculty or staff assigned to that shop area.

Appropriate Dress

Shop workers should dress according to the type of work they will be performing. In general, avoid loose clothing, jewelry, and floppy shoes/sandals, especially when working on ladders or around power tools.

Safety

Safety is an important concern in all of our shops. Eye protection is mandatory when working with many shop tools. Additional hearing and breathing protection is available as needed, or requested. Students should never use tools with which they are unfamiliar or for which they have not had supervised training.

Cleanliness

It is everyone’s responsibility to maintain the cleanliness and order of the shop spaces. Before leaving, put away all tools in the proper place, pick up and store projects, sweep up the work stations, and throw out the garbage. A clean shop is important to morale, safety and shop efficiency.

Cell phones

These useful tools may impede the work of the shop, or pose safety concerns if you cannot focus and hear on all that is going on around you. They should be used outside of shop time and/or as directed by the specific shop policy.

Shop Rules and Regulations

Each shop area has its own posted rules and regulations. You are required to familiarize yourself with them.

9. Shop Equipment, Tools, and Supplies

Tools and Equipment

Tools and equipment belonging in the department shop spaces may not be removed from the Theatre building. Treat all tools and equipment with respect and care, and report all damages and maintenance needs to the Technical Director, Faculty Supervisor or staff in charge of the shop area where the tool resides.

Shop Supplies

Shop supplies (muslin, thread, nails, glue, glue stick, lumber, etc.) are purchased to support the department production season. Leftover or scrap material may be used for small student projects, but users must get the approval of Technical Director, Costume Shop Manager, or Faculty Supervisor before utilizing the materials or supplies for their project.

10. Costume, Props, and Scenery

Borrowing Costumes, Props and Scenery

Onlyofficial CWU organizations may technically borrow anything from the state. Other entities (theaters, organizations) from which we reciprocally borrow may be considered on an ad hoc basis. All such requests depend upon the availability of time and manpower of the Costume Shop Manager and Technical Director and must be approved by the Chair via the appropriate forms

Signing Out Costumes, Props and Scenery

Anything borrowed from the department’s stock of costumes, props or scenery for a department production, a studio production, directing scenes, acting scenes, lab projects or outside users must be requested through the faculty member in charge. The instructor responsible for the area will sign a form and the items pulled under the production or project closes/ends, and are restocked under the supervision of the shop or costume staff or faculty responsible for that area.

11. Emergency Procedures

Accidents and Injury

In the event of serious injury, call 911 and then Campus Security (963-8534). Please report all accidents and injuries immediately. Notify your supervisor and have the injury treated. For each injury an Accident and Injury Report Form must be completed

Accident Reports

Accident reports should be completed at the time of the incident and turned in to the Technical Director, within 24 hours. The TD will disseminate the form to those office on campus that need the information

MSDS forms on all products used in the shops are available in each of the shops. In an emergency situation those forms may be needed by medical personnel.

First Aid

First aid kits and manuals are located throughout the building in the Scene Shop (124), the Costume Shop (216), the Main Office (102), the McConnell Auditorium Box Office (134), the Tower Theatre Concessions/Check Room (202), and with the Stage Manager for each show.

Fire

Learn the layout of the building and all paths of exit from it so that you are prepared for any emergency situation that may arise.

In the event of a fire beyond your immediate control, go to a fire alarm station in the building, pull the lever down, and then call 911. Do not wait for a fire to be out of control before sounding the alarm. Alert others in the building and evacuate the building as quickly as possible. DO NOT USE ELEVATORS! Fire extinguishers are provided for putting out small fires. Learn where they are and be familiar with their operation.

12. Music Licensing and Royalties used in Production  (Revised 2013)

Effective Fall 2013 – All recorded music, sheet music, show music, video images, or other related material which may have licensing and royalty obligations and is expected to be used in and for any department sanctioned production will be submitted to the Production Manager, in writing at least 60 days prior to the production.  The production manager will work with the chair, theatre office staff and CWU Business Services and Contracts to secure licensing and royalties’ arrangements for each of the items submitted. This includes, but is not limited to incidental music used within a production, preshow music, intermission music, numbers to be included in a variety show, and so forth. Many items will be covered under ASCAP, BMI or other similar campus-wide arrangements in place from time to time. Other items, such as sheet music, will require individual contracts with the license/rights holders. These contracts must be approved prior to processing by CWU Business Services and Contracts. Any resulting and additional costs for securing permission will be borne by the respective production budget.

Pieces for which permission is obtained will be listed in the program with appropriate citation as stated in the licensing contract.

Pieces for which permission is not obtained prior to first tech rehearsal may not be used in the production, and will not be listed in the program.
