SOURCE Judges

Sign-up to judge and help make SOURCE 2025 a success!

Judges provide feedback to our students in the professional, juried, and beneficial environment that SOURCE aims to provide, and many students strive to experience before concluding their graduate and undergraduate careers. It's simple for you but very valuable for students! Please review the judging requirements/instructions here.

We need many judges for both the oral presentations (May 20) and the poster presentations (May 21). Your participation and leadership in guiding these students are crucial in making the most out of the SOURCE event.

Judging at SOURCE

We want you to be as prepared as possible! Please review the judging requirements and the rest of the information on this page.
  • Judging Forms & Feedback

You need to submit your judging form via the appropriate online judging form BY 8pm on the day the project was presented and judged!

Judging will have an online and paper option. If you choose the paper option, you will need to return it to the volunteer in the command room before the end of the event that day OR digitally transcribe and submit your judging form online by 8pm that evening.

Students WILL receive your feedback. Students will NOT see whether you nominate them for the SOURCE awards.

  • What to Expect at SOURCE

Not sure what to do once it's time for you to judge at SOURCE? Here are some quick steps to start you through your day of judging and attending SOURCE!

    1. Check in at the command room (SURC 273) 15-30 minutes before your first judging session.
      • We will have judging forms, clipboards, pens/pencils, judging assignments, schedules, and maps at the check-in available for you.
      • Review the abstracts of the projects you are assigned beforehand.
    2. Find the room for the session you’re judging. If you have trouble finding the room, SOURCE volunteers can help you.
      • Arrive at least 5 minutes before the session begins and greet the presenters
    3. Enjoy the presentations and judging!
      • Pay attention and engage with the presenters; ask questions!
      • Be aware of ethical considerations for the field the presentation is in.
      • Be impartial and objective.
    4. Please return your completed judging forms, judge badge/lanyard, clipboard, and other borrowed materials to the volunteer in the command room (SURC 273).
    5. Submit all your judging forms online before 8 pm on the day of your judging.
    6. Enjoy the rest of your day at SOURCE! Go to sessions outside of your field, learn something new!

  • Session Chairs

We will be assigning some judges to also be a session chair when needed. Thank you for your flexibility!

Session chairs keep track of time and ensure that presenters don't exceed their time limit using colored cue cards to communicate the time remaining to presenters. They will also announce each presenter and presentation details to the audience. You will receive more instructions on being a session chair or you can review the full instructions and checklist for Session Chairs here.

  • Judge Sign-Up Board

There will be a schedule board outside the command room displaying sessions that are still in need of judges due to either limited volunteers or unexpected cancellations.

    • If you notice a session in need of judges that you would like to cover, please remove the sticky note and bring it to the volunteer in the command room so they are aware and can provide you with the appropriate materials for the session.
    • If you unexpectedly become no longer available for a time that you previously signed up for and have judging assignments for, please contact the SOURCE team immediately so that we can update the “Judges Needed” board.
Please give us as much notice of cancellation as possible! (See the instruction guide for details on who to message and when)
