Reserving Multicultural Center Rooms


Reservable and Public Use Spaces in the MCC


The Multicultural Center hosts several rooms that are available for use by constituents of Central Washington University, including departments, classes, and campus partners. Rooms are reserved through the Scheduling Center and are prioritized for student club and organization use. Please review our policy carefully before requesting a reservation for detailed information including A/V, room setup and hours. We welcome questions anytime if you are considering utilizing the Multicultural Center.
  • Room Usage Policy
    • Registered Student Organizations and S&A funded units can reserve the spaces at any time, at no cost. All other units requesting reservations must wait until after the first two weeks of each quarter and will be assessed a usage fee. In other words, units may request a space but requests will not be reviewed or approved until after the first two weeks of the current quarter in order to prioritize CWU students.

      When these rooms are not reserved for events, the campus community is welcome to use the space for informal gatherings, studying, small meetings and hanging out!

    • These terms and conditions are in accordance with and addition to University Scheduling Policies.
    • Reservable spaces are for constituents of Central Washington University only.

     

    Process

    Reservations must be submitted through the Scheduling office via 25-live

    Once reserved, users of the space are required to check in with Multicultural Center's staff when you come for your event to review procedures and expectations.

    Reservable Spaces - note room capacities are now dependent on state and county regulations and may differ from what is listed below.

     

    Fees

    Student clubs/orgs and S&A funded units use the space at no cost. Fees will be assessed to the club or organization if additional clean up or facilities assistance is needed.

    The Scheduling Center will bill any entity that uses the space other than the Multicultural Center, Registered Student Organizations, Equity and Service Council (ESC) organizations, S&A funded units.

    Usage fees are as follows:

    • Room 107 and 105 is assigned at $20/hour up to the first four hours. Any reservations exceeding four hours is charged a day rate of $150.
    • Room 103, 104, and 108 (Conference Room) is assigned at $15/hour up to the first four hours. Any reservations exceeding four hours is charged a day rate of $90.

    Hours of reservations

    The Multicultural Center is only reservable during staffed hours, 8am-7pm Monday-Thursday, 8am-5pm Friday, closed Saturday and Sunday during Fall, Winter and Spring quarters when classes are in session*. During Summer sessions, the DEC is available 8am-5pm Monday through Friday.

    *Exceptions may apply based on the discretion and capacity of the Multicultural Center Staff.

     

    The priority of space reservations is determined based upon the following:

    • Priority 1: Registered Student Organizations, Equity and Service Council Organizations or S&A funded units. These groups will be allowed to request space up to two weeks prior to any other groups.
    • Priority 2: CWU departments, instructors and/or units at Central Washington University whose meetings purpose supports the mission, vision and values of the Multicultural Center.

    Requests for priority 2 groups will not be considered until after the first 2 weeks of each quarter.

     

    Physical Space Setup

    The Multicultural Center is a departmentally controlled space. Room 105 and 107 functions as a multipurpose space, meaning that the users of the space are responsible setting up the room. Users may notify the Multicultural Center before their event to discuss set-up and request assistance. Conference Rooms (103, 104, and 108) cannot be re-arranged due to the nature of the conference room table.

    All spaces should be returned as found; basic cleaning supplies are provided to wipe down tables and clean white boards, as example.

    Multicultural Center staff is not responsible for providing technical support. Users requesting support should contact Information Services well in advance of their event.

     

    Cleaning

    Users of the space are required to return the space to its original condition, including wiping down any white boards, tables, counters, and returning to supplies to their original location(s).

    Basic cleaning supplies are provided. Failure to clean or return materials to their proper place may result in an additional fee.

    Decorations

    While we recognize the need for decorations at some events, the following regulations have been established in keeping with CWU policy, fire safety and facility maintenance considerations.

    • Taping materials to walls, woodwork, brick or other building surfaces is strictly prohibited. When removed, tape damages paint, causes surface deterioration or leaves behind residue. Violations of this policy will result in cleaning and repair fines.
    • Nails, tacks and staples are not permitted for general use on building surfaces. Tacks and staples should be on surfaces approved for posting only.
    • Decorations must not block or limit access to doors, fire extinguishers, fire sprinklers, or manual pull stations. Decorations may not be hung from light fixtures or fire sprinklers.
    • Decorative paper materials, props, draping etc. must be flame retardant and meet the City of Ellensburg and Central Washington University Policy.
    • Open flames, including candles, must follow fire code and be approved by the Multicultural Center. Some circumstances will require an additional permit by Kittitas Valley Fire and Rescue.

    Please make prior arrangements with The Multicultural Center to help meet your decoration goals. We have items such as whiteboards and easels to assist with your signs and decorations without infringing upon building policy. For large scale decorations, all of the above policies still apply; however, we encourage the user to work with the SURC.

    Food 

    Food is permitted within the MCC Spaces.
    Users must comply with Central Washington University’s Catering policy.

     

    Noise

    It is recognized that music and sound are important factors at events; however, the Multicultural Center is located within Black Hall, a building whose primary function is to serve as a space for teaching and learning. Therefore, sound must not substantially and materially disrupt or interfere with the university’s essential academic or administrative functions or the rights and privileges of the university’s students, employees or invitees.

    If you are considering live music or amplified sound during an event, we highly recommend you meet with the MCC staff to discuss the possibilities at least 2 weeks prior to your event to consult with them.

    General Multipurpose Meeting/Event space Good for general org meetings or small-scale events. Equipped with: 2 overhead projector & screens, Speakers (in ceiling), HDMI input, VGA input, Microphone input

  • Public Use Spaces

    Community Kitchen

    The Multicultural Centers offers a fully equipped residential kitchen equipped with an induction stove, oven, microwave, air fryer, dishwasher, refrigerator, and freezer. The kitchen may be used by all guests visiting the center on a first-come, first-serve basis during our operating hours. Please notify the front desk when you intend to use our equipment so that we may be available to answer questions or assist in the use of the equipment. 

    Users of the kitchen are responsible for keeping the kitchen clean and organized after preparing food. MCC staff can provide cleaning supplies and support when possible. 

    We strongly encourage all users of our kitchen to read and follow food safety guidelines established by the WA Department of Health. The policies written below were written in partnership with Dining Services and in accordance with their Catering policies. 

    The Community Kitchen MAY be used for: 

    • Private use for yourself or your friends.  
    • You may bring your own cookware and supplies, just know that our stove top is induction and will only work with certain materials 
    • Preparing non-perishable or low-risk foods for club meetings and events 
    • Examples include: store-bought cookie dough, pre-packaged chips and beverages, frozen meals, food that doesnt contain ingredients that are unsafe to consume raw (such as wheat, poultry, eggs, seafood, etc...) 
    • Any students preparing food for public consumption MUST have a valid Washington Food Handler’s Card. 
    • Catered food from Dining Services for events in or near the MCC 
    • Cooking or preparing food for private meetings and events, such as staff trainings or retreats. 

    The Community Kitchen may NOT be used for: 

    • Cooking or preparing food to be sold for fundraisers 
    • Cooking or preparing large quantities of food for large, campus-wide events 
    • Registered Student Organizations and Campus Departments are required to follow Catering’s Kitchen Use Policy linked above. 
    • Cooking or preparing hot or cold food for meetings and events that are open to the public, unless granted a written exemption from Dining Services

    Refrigerator/Freezer 

    You may store your food and beverages in the refrigerator and freezer, however, the Multicultural Center is not responsible for any lost or stolen food. We strongly encourage you to label your food and keep it no long than a few days. The MCC Staff will clean out the fridge of unmarked or expired food on a weekly basis. 

    Prayer & Reflection Room

    Prayer/reflection rooms on campus are intended for members of the University community to meditate, pray and/or otherwise spend time in quiet reflection. During building hours, the room is dedicated for individuals or groups wishing to engage in structured or unstructured reflection that suits their personal practice.  

    Guidelines for use:  

    • There is a mechanism connected to the lock which will indicate if the room is in use.

    • The prayer room contains a foot washing station for certain religious practices.

    • Reflective practices may require specific materials. We ask that all users of the room ensure that the room is flexible for a variety of faith, meditation or reflection practices.  

    • For example, some users of the reflection room may remove their shoes. Shoe racks are provided for this convenience. 

    • All materials used during reflection or prayer must be returned to their original set up. Additionally, materials should be stored in such a way to allow users to move items when they are not being used in a respectful manner.  

    • Return any items such as rugs, mats and chairs to where you found them. You may move unused materials to the side of the room.  

    • The university is not responsible for any personal belongings left in the room 

    • There is no formal “reservation” procedure; please respect others who may already be using the room(s) when you arrive. The MCC recognizes that the room may be used by certain communities or individuals at specific times of the day/week on a recurring basis in order to honor reflection or prayer practices, and therefore reminds all users to respect and honor the practices of those sharing the space.  

    Any concerns regarding the use or practices of the reflection room should contact the Multicultural Center at diversity@cwu.edu or by calling 509-963-2127.   

    Please note that the reflection room is only open during building hours. 

    Living Room

    Our Living Room area features a Smart TV to lounge around and hang out with your friends or while waiting for club meetings to start! We also have a Nintendo Switch available on request.

    Resource Library

    The Resource Library offers a number of couches, privacy screens, and height-adjustable tables for use to study, enjoy quiet time, or read from our collection of books. Books may be borrowed via check-out process at the front desk.

    We ask that users of the Resource Library respect the intended of creating a peaceful environment, such as using headphones on devices, refrain from loud conversations, avoid rude or disruptive behavior.

    All Gender Restroom

    We offer a single-use, all-gender restroom located next to the prayer & reflection room. The restroom also offers an infant-changing table.
