How to seek club funding when your club does not have any current funds?

Your club needs to complete the official online club recognition process. This process needs to be completed every academic year (September-June) and can take between 2-3 weeks. Once you submit your club recognition packet through the online process it will either be approved or denied by The Associated Students of Central Washington University Board of Directors

When you are requesting funds, you are requesting from the Westside Student Life office. You can request up to $500.00 per academic year (September-June). This does not mean your club will receive $500.00 in one sum, you must request the exact amount you wish to spend.

For example, you would like to host an event where food is being served. You would need to provide an exact amount on which you wanted to spend the food or get a price quote from the on-campus catering. This exact amount should include any extra charges such as tax, shipping, and service.

Meet with your club officers and advisor about what event you would like to plan or go to. Think about what would be the purpose of hosting or going to this event.

To request the funds from the Westside Student Life office you must complete the funding request and then schedule an in-person or over-the-phone appointment with Asraa Jaber, Associate Director of Westside Student Life.

All funding requests must be approved before any funding is spent. If you spend money without approval you can not seek a refund.

Please note that there are university policies on how funds from the Westside Student Life can be spent. If your funding is not approved, it may be due to university, state, or federal policies (PDF), which Westside Student Life office would work with you to make the changes needed for potential approval.

If your funding is approved you will work with Asraa Jaber on purchases/invoices/expenses.

Purchases must be made with personal funds that will be reimbursed by check and will be debited from your club’s account. No cash advances are permitted.

How to spend club funds if your club has funds in its account?

Complete the signature authorization form (look under Other and the form is titled signatory list) with the signature of your advisor and club officers. Turn this form into Asraa Jaber for any Westside center student.

Schedule an in-person club funds training for about 45 minutes with either Ashlee Norris if you attend CWU-Des Moines or CWU-Pierce County OR Zack Kramer if you attend CWU-Lynnwood. It would be helpful to have your club treasurer, president, and other club officers attend this training.

At this training, you will receive training on the process of spending funds for food, travel, purchasing supplies, conference registration, printing, using CWU logos with the university policies, how to access your club funds, how much is in your club account, and cash handling training for ticket sales.

Please only spend the amount you have in your club account.

If you need more funds beyond what you have in your club account, you will need to make a second funding request to Westside Student Life to cover the additional funds. Please follow the policy above for requesting funds from Westside Student Life.

You are required to exhaust all club funds before requesting from westside student life.
