Guidance for Time and Attendance for Furloughed and Reduced FTE Employees

Attention CWU Community,

Many of us have begun or are preparing to begin furloughs or reduced hours. The following information and tools are provided in order to assist with changes in time entry and absence requests.


FURLOUGHED EMPLOYEES

  • Furloughed employees do not need to submit time or leave while on furlough
  • All furloughed employees will receive holiday pay based on their original Full-Time Equivalent (FTE) for the July 3 holiday
  • Payroll will cancel all previously requested absences during your furlough period since no absences are available to use

REDUCED FTE EMPLOYEES
Reporting time June 28-July 3

For classified employees, reporting time for the first week in July will require unique focus because it crosses two pay periods and includes a paid holiday. The University is committed to ensuring all employees receive their full paid holiday on July 3; therefore, classified employees will need to enter a Holiday (Earn Code 150) on July 3 per your original FTE. The rest of the week supervisors may work with employees to flex schedules as long as the totals for the week equal the total hours highlighted belowNote: Exempt employees do not need to enter time. The system will populate the holiday.

  • Exempt staff will report absences at their reduced FTE

If your hours vary from the ones depicted in the above grids, you may wish to use the attached spreadsheets to help calculate hours. You will find a Reduced FTE Reporting Calculator for June 28-July 3 only and one for the rest of the summer reduction (July 5-August 31). Be sure to select the tab that applies to your reduction.
