Attention Programmers and Event Schedulers

Good morning team –

Scheduling Services is beginning the process of a campus-wide space audit, and will be working closely with Academic Scheduling and FMD to update the data in the 25Live system.

The process will entail cross-checking every space on campus to ensure capacity, resources, and other system admin details are accurate.  We will be sending a team around building to building over the next few weeks.  Please advise if you would prefer your space not to be included in the audit – otherwise we may be reaching out in order to gain access to your spaces (classrooms, conference rooms, meeting rooms, labs, etc).

We are also seeking the most up-to-date details for departmental approvals and scheduling contacts.  We would greatly appreciate assistance from the campus community to accomplish this task.

Please help us with this process by providing the following details for your department:

Departmental Programmers and Event Schedulers
- Department name
- Departmental scheduling speedkey(s) that can be used for events
- Departmental scheduling authority / approval of charges for (each) speedkey
- Email and current office phone number for (each) contact
- Mobile contact for on-site programmers (if you normally schedule for yourself or the same person regularly)

(additionally for Departmental Space Approvers)
- Departmental space use approval contact (phone and email)
- Amount of lead time / costs needed for groups to use your space (For example – If you choose to allow departmentally controlled spaces to be used by an outside group, what would that look like?  Would you require staff to be present?  How much would you charge for staff?  Cost of equipment use? Etc)
- Where are costs / pricing sheets / usage fees listed?  Please share any web links or publicly posted information.
