Instructions for SOURCE Presenters

Thank you for agreeing to share your scholarship at the Symposium for University Research and Creative Expression. As you know, the symposium will be held on Thursday, May 20, 2010. The schedule will be published on the SOURCE web site once it is available.

On the day of the symposium, be sure to stop by the Registration Desk in the foyer on the second floor mezzanine of the new SUB-REC to pick up your presenter packet, including program and abstracts, nametag, and lunch banquet ticket (if you reserved one).

Presenters should preload their talks at the Registration Desk from 5:00-8:00 p.m. on the day before the conference (Wednesday, May 19, 2010) during the practice session.

Oral Presentation Instructions

Oral presentations should be no longer than 12 minutes. An additional 3 minutes will be allotted for questions and transitions (total time = 15 minutes). Practice your presentation to make sure that you can complete it in 12 minutes.

Each presentation room will have the following for your use: a lectern, computer, and data projector.

The symposium computers will be PCs running Windows XP and the most recent version of Powerpoint, and will have a CD drive and USB port. Preference is to bring your presentation on a CD instead of a flash drive for transfer. There will be no access to the Internet or Network drives available. If you plan to use Powerpoint (or other computer programs) in your presentation, you must load your presentation on the computer for your scheduled presentation room no later than the break before your session. You also have the option (that we strongly encourage) to load your presentation the evening before the conference (see below).

The following locations in the SURC building will be open on Wednesday, May 19, 2010 for participants to pre-load and practice their presentations:

Registration Desk (2nd Floor Mezzanine): 5:00-8:00 p.m. for pre-loading
Rooms 201 and 202: 5:00-8:00 p.m. for practice

Please remember that you are responsible for the success of your talk and knowledge of the audio-visual equipment you use.

Poster Presentation Instructions

Posters must be a single board no larger than 3 feet high by 4 feet wide that is ready to hang on a wall. All posters must either be printed on a single sheet of paper or have some type of backing, such as large poster boards. Posters in the morning session should be on display from 8:15 AM to 11:30 AM, and posters in the afternoon session should be on display from 1:15 PM to 4:30 PM. Authors need to be present at their poster for judging from 10:00-11:30 in the morning poster session and from 3:00-4:30 in the afternoon poster session.

A limited number of tables are available for students who need to display objects as part of their presentation. Tables will be reserved only for presenters who contact Christina Barrigan before Friday May 8, 2010 and only after the presenter explains their need for the table.

Other Presentation Formats

If you are making a presentation other than oral or poster, please be sure to contact the organizers for accommodations and instructions. This would apply for musical performances, artwork static displays, performance art, and other presentation formats.

Banquet and Keynote

The keynote speech will be combined with a lunch banquet this year. Student and faculty presenters can attend the lunch banquet and keynote at no charge, but must make lunch reservations through the abstract submittal form.

Outstanding Student Presentation Awards

There will be outstanding student presentation awards given in each session. Judges will choose award recipients based on the presenters' ability to articulate significant research questions, demonstrate their knowledge, organize information, clearly present their research results or creative activities, and hold the interest of a general audience. Poster presenters are required to appear with poster during the judging session and should prepare a brief presentation to accompany their poster.

All awards will be presented the day after SOURCE on Friday, May 21, from 12:00-1:00 PM in the SURC Pit. Award winners and mentors will be contacted prior to the event and others are welcome to attend.
