GroupWise Filters

GroupWise filters can be used to quickly narrow down what's displayed within GroupWise so you can focus on what you need. For example, you want to file away all the e-mail you've gotten regarding a project and it's all still in the Mailbox folder. You can filter the Mailbox folder to show only those e-mails, grab them all at once and file them away.

Filters can also be used to help you search for a specific e-mail. For example, you remember getting an e-mail from a co-worker about a project you are working on but you don't remember when you got it. Use the Filter tool to show only those e-mails from your co-worker so you can shorten your search.

Filters can be saved too so you if you find yourself using one more than once (like filtering for unread items), then save it for future use.

The following are some tips on using filters within GroupWise.

Predefined Filters

To quickly filter any folder using one of the predefined filters that come with GroupWise

  • Click on the two circles next t the Filter field below the toolbar.

  • Select any of the filters from the list.

Once a filter is selected, only those items that match the filter criteria will display.

Note: Some folders are already set to show only certain items anyway such as Sent Items.

Creating a Custom Filter

To search GroupWise using your own criteria,

  • Type in a search criteria in the Filter field just below the toolbar.

If you want to specify that your criteria is From someone or with a certain Subject line,

  • Click on View, Filter, Edit/Create.

The following window displays.

  • The Filter window provides fields for the more common search items. You can filter by more than one criteria such as From someone with a certain Subject line. Note also that you can filter by Category (more information on Categories at http://www.cwu.edu/~itstraining/TechTips/PCCategories.html

For more advanced filter options,

  • Click on the Advanced Filter button.

The following window displays.

  • Click on the drop down arrow on the first field and select All Fields.

Any of these fields can be used in a filter.

Sample saved filter - Unread messages

Wouldn't it be handy to just see those messages you haven't read yet? You can on the web version but on the client (local) version, you have to create a filter and save it.

To create this filter,

  • Click on View, Filter, Edit/Create
  • Click on the Advanced button.
  • In the first field, select Item Status from the list. You may need to click on the All fields option at the bottom to select from full list (see above screen shot)
  • Click on the next button and select Does Not Include.
  • Click on the drop down arrow in the next field and select Read from the list.

A completed window would look like the following:

  • Click OK to return to the basic filter window.
  • Click Save and give your filter a name.

Note: you have the option of putting your saved filter on the menu (check box) which means it will be available through the View, Filter menu.

Clearing a Filter

To clear a filter,

  • Click on View, Filter, Clear.
