The New Look


Panels vs. 2

Panels have been around since GroupWise 7 but now they are even more customizable; you can even setup to display web pages within a pane. The panel view is usually applied to the Home folder but can actually be used on any folder.

Note: the CWU Intranet will still come up first.

  • Access the Home folder once logged in by clicking on it in the left pane.

To customize the Home view,

  • Right-click on the Home folder and select Properties from the shortcut menu.
  • Click on the Display tab.
  • In the View by drop-down list, make sure it says Panels.
  • Click on the Customize Panels button.

In this screen, you can choose how you want the Home screen laid out (one or more columns), and which panels you want to show in those columns.

  • Select a panel from the Available Panels list and click the Add button.
  • Use the Move Up, Move Down, Edit, and/or Delete buttons to position and customize the panel.

To add a new panel that displays a web page,

  • Click the New Panel button.

  • To display a web page, just check the option for Selected Web page and put in the address in the field provided.
  • Make any other selections you need and click OK.

Folder List Options

There are some new options for your Folder List.

Favorites: Click on View, Folder List and then select Favorites Folder List. This will section out a portion of the left side folder list where you can put your most frequently accessed folders. Once the pane is displayed, simply right-click within and Choose Favorites.

RSS Feeds: Subscribe to your favorite RSS Feed and have the contents display in this special folder.

  • Click on File, New, RSS Feed.

When you fill in the fields for the first time, GroupWise will create a “GroupWise Feeds” folder with the name of your new RSS Feed as a subfolder. You can subscribe to more than one feed

Tasklist Folder: This folder replaces the Checklist folder from previous versions of GroupWise. If you post a task to your Calendar, it shows up in this folder however if you add an item (such as an e-mail) to the Tasklist folder, it won't show up in your Calendar unless you assign it a due date.

If you've hidden your folder list and need to file an e-mail there, don't worry, it pops out when you drag a message to the left side of the screen so you can see where you want to put your message.

Sharing Display Settings

If someone sees how you have your GroupWise setup (i.e. with Panels or some such), you can share your display settings with them.

Once you get the folder setup the way you want it,

  • Click on View, Display settings, Send Current.

An e-mail window appears where you can fill in the addresses of those you want to send your settings to. Instructions are included within the e-mail for the sender to accept the settings you are sending them.

Email Changes


AutoSave

No more losing e-mails! If you are composing an e-mail and GroupWise crashes, the next time you startup GroupWise, you'll be prompted to recover or delete the message you were working on. If you recover the message and send it, the saved version is automatically deleted so there's no need to worry about file space.

Using Word to compose messages

If you want to use the formatting options available in Word,

  • Click on Tools, Options and double-click on the Environment icon.
  • Click on the Editors/Views tab.
  • Select the radio options for Word under Editors (pick for either/both plain text and HTML depending on what you prefer).

The next time you open a mail message, you'll get a window similar to the following.

Note: This does not actually send a Word document. This just provides for the ability to use the formatting options within Word.

Editing Attachments

If you receive an e-mail with an attachment that you'd like to modify,

  • Right-click on the attachment icon and select either Edit (will open the default program for that file type) or Edit With (choose which program to open the file with).

The attachment opens in the appropriate program.

  • Make your changes and save from within the program.

GroupWise creates a copy of the file, with your changes, and names it “Modified copy of...” and puts in alongside the original within the e-mail.

Personalizing Received Messages

You can personalize received messages by clicking on the Personalize tab of any open message. There are fields for My Subject, My Notes, Category, and Contacts. Only Notes and Contacts are new.

Type in a Note in the appropriate field. This is only viewable by you. An attachment icon appears on the message once you've added a note.

If you add a Contact to the e-mail, that message is then associated with that contact and will be seen if you view the contact's history.

Message Preview

With Message Preview, you can see the first two lines of the message right in your Mailbox so you can get an idea of what's within without ever opening the message.

  • Turn Message Preview on by clicking the View menu, then Display Settings , and finally Message Preview.

Discussion Threads

If you send an e-mail to someone and they reply back, that's the start of a discussion thread - the two e-mails are related. You can reply again, and they in turn and so on. If you want to see all of those e-mails together, check out the Discussion Thread tab in the opened e-mail window. A pane at the top will show all the inter-related messages and when you click on one, the contents will appear in the bottom pane.

Calendar Changes


Publishing Personal Calendars

If you want others to be able to see your calendar without going through Proxy access, you can publish it to the internet. You have control over what gets published and for how long.

  • Right-click on the calendar you want to publish (can be main one or another you've created) and select Publish from the shortcut menu.

  • Check the box for Publish this calendar.
  • Make your selections for how long you want it published and whether or not to include private items, then click OK.

Once your calendar is published, you can use the Send Publish Location button to send an email to others you want to notify of the publication.

Subscribing to Other Calendars

You can also subscribe to internet calendars. These will show up as sub-calendars of your main calendar.

The following is an example of how to subscribe to the US Federal Holidays calendar:

  • Right-click on the Calendar folder in the left pane of the GroupWise window and select Subscribe from the shortcut menu.

  • If you know/have the url for the calendar you want to subscribe to, just copy and paste (or type) it into the Location field.

Note: There's a hyperlink in the Calendar Sources field at the bottom that takes you to a place where you can browse for calendars. This does NOT include any published calendars that CWU users have posted.

The US Federal Holidays url is http://icalx.com/public/petermaz/US Federal Holidays.ics

  • Give your calendar a name in the Folder Name field, then click Subscribe.

If a CWU user has sent you a notice that they've published their calendar, there will be instructions within for subscribing to it.

Switching Time Zones

Travel a lot? Now GroupWise can display, in Day view, different time zones right alongside your current one.

Note : If you switch the time zone on your computer, GW updates to display the new time without a restart. Conversely, if you change the time zone within GroupWise, the workstation time will update.

To display an additional time zone,

  • Click on the View menu, Appointment Display, Additional Time Zones.

If you check the box for Display Additional Time Zone, and then click OK, you'll see in Day view of your calendar the alternate time.

Calendar Items in the Mailbox

It's all too easy to miss an appointment because you accepted it to your calendar; thereby causing it to disappear from your Mailbox and post, but then forgot to check your calendar that day. Well now you have the option to have calendar items still show up in your Mailbox, even though you've accepted them to your Calendar. This can be especially important for people who send appointments because if you are the sender, GroupWise automatically posts the appointment to your calendar.

To have calendar items (i.e. appointments) still show up in your mailbox after you've accepted them,

  • Click on Tools, Options, and double-click on the Calendar icon.

On the General tab,

  • Check the box for On accept, continue to display the item in the Mailbox.

Other Changes


Address Books

One of the more common ways to import/export address books from different e-mail programs is via the .csv file format. GroupWise 8 now supports this format for importing and exporting.

To import an address book in the .csv format,

  • Open the Address Book (Tools, Address Book).
  • Click on File, Import.
  • Locate the .csv file and click OK.

To export a GroupWise address book into .csv format,

  • Open the Address Book (Tools, Address Book).
  • Select the book you want to export in the left pane of the window.
  • Click on File, Export
  • Choose whether you want to export the selected address or the whole book.
  • Choose the desired file format (.csv) in the Save as Type field at the bottom and then clickSave .

Contact Management

You can access your personal address books either from the Contacts tab on the Nav bar or the Frequent Contacts folder in the left pane of the window.

This new Address Cards view lets you see mini address cards for your contacts. Just double-click on a contact to add/edit details.

If you put in a birthday or an anniversary for a contact, you'll have the option to have that information show up in your calendar.

If you want to quickly find a contact, use Find Contacts Find contacts buttonbutton on the toolbar.

Automated Vacation Rule

With the new Automated Vacation Rule , not only is the setup easier, but it also blocks off your time away on your calendar.

  • Click on Tools, Vacation Rule.

  • Check the box at the top to activate the rule.
  • Fill out the fields as appropriate.

Note the option box for “Reply to External Users” so you don't have to worry about your reply going out to Spammers. Although that also means no reply to possible legitimate contacts with outside addresses.
