- To request future leave or report an unplanned absence:
Submit an Absence Form
(Word / PDF) to supervisor
- By the end of each pay period: A Positive
Time Report must be completed and submitted to supervisor

Submit an Exception
Time Report (Word / PDF) to supervisor

- Review Absence Form, approve or disapprove as appropriate, and
hold until a Positive Time Report is received for the matching
pay period
- Collect signed Positive Time Report by the last day of the pay
period for each employee
- Sign Positive Time Report to confirm all leave taken and time
worked, including overtime/comp time earned are accurately reflected
- Submit Positive Time Report and Absence Forms to department Timekeeper

- Review Exception Time Report for approval or disapproval of
absences
- Sign to confirm approval
- Submit to department Timekeeper

- Ensure Positive Time Reports are received for all employees
with a checkbox next to their names on your rapid time entry Time
Sheet Report
- Enter leave taken and extra time worked into Rapid Time Entry
as reported on the Positive Time Reports
- Attach Positive Time Reports to final Time Sheet Report and
forward to Payroll (one pay period lag)
- Retain Absence Forms per retention schedule

- Enter leave taken into Rapid Time Entry as reported on Exception
