Human Resources : Positive Time Reporting

This page is intended as a supplement for those departments who have received positive time reporting training.

The Process

 

Overtime Eligible Staff
(Most Classified Staff)

Non-Overtime Eligible Staff
(All Administrative Exempt and some Classified Staff)

Employee
  • To request future leave or report an unplanned absence: Submit an Absence Form (Word / PDF) to supervisor
  • By the end of each pay period: A Positive Time Report must be completed and submitted to supervisor
  • To request future leave or report an unplanned absence: Submit an Exception Time Report (Word / PDF) to supervisor
Supervisor
  • Review Absence Form, approve or disapprove as appropriate, and hold until a Positive Time Report is received for the matching pay period
  • Collect signed Positive Time Report by the last day of the pay period for each employee
  • Sign Positive Time Report to confirm all leave taken and time worked, including overtime/comp time earned are accurately reflected
  • Submit Positive Time Report and Absence Forms to department Timekeeper
  • Review Exception Time Report for approval or disapproval of absences
  • Sign to confirm approval
  • Submit to department Timekeeper
Timekeeper
  • Ensure Positive Time Reports are received for all employees with a checkbox next to their names on your rapid time entry Time Sheet Report
  • Enter leave taken and extra time worked into Rapid Time Entry as reported on the Positive Time Reports
  • Attach Positive Time Reports to final Time Sheet Report and forward to Payroll (one pay period lag)
  • Retain Absence Forms per retention schedule
  • Enter leave taken into Rapid Time Entry as reported on Exception Time Reports
  • Keep the Exception Time Reports per the retention schedule
