Policies and Procedures

  • Mission Statement

    CWU Catering supports the Mission of Central Washington University and strives to create a superior customer dining experience. We are committed to offering quality food and customer service that meets the individual needs of the University Community as well as the off campus customer.

  • Exclusivity

    CWU Catering is the exclusive caterer on the Central Washington University campus. All food and beverage services on campus are to be provided by Catering Services in compliance with Washington State Law, the Kittitas County Health Department, and the policies of Central Washington University. Outside food and beverages can not be brought on to the CWU campus facilities without explicit permission from the Director of Dining Services or the Catering Manager.   • Outside Catering Services

    All food and beverages served must be provided by CWU Food Services, with the exception of potlucks and pre-game and post-game athletic activities that are coordinated by the Wildcat Booster Club. Outside food and beverages can not be brought to the CWU campus facilities without explicit, written permission from the Senior Catering Manager, the Director of Dining Services or the Director of Business Services and Contracts. If Catering Services concludes that it cannot accommodate the food needs of an organization, a Kittitas County licensed food service establishment is permitted to provide food once permission is granted. Permission is not granted for outside caterers in Sue Dining, Lombard Room, Tunstall Commons, Kamola Suite nor the Student Union Building.

    CWU Catering Services, Business Services and Contracts and the Kittitas County Health Department work together to ensure that the proper county and Washington State Health Department laws, rules and regulations regarding food sanitation on the Central Washington University campus are met and followed with no exceptions. Business Services and Contracts has the right to revoke the catering privileges of the "outside" caterer if the insurance requirements are deemed unsatisfactory to the University, and if the caterer does not possess the proper health certificates with the Kittitas County Health Department. The Health Department will be on-hand at the beginning of each event to ensure that all Washington State and Kittitas County Health Department Food Sanitation laws, rules and regulations are met and/or followed. CWU officials also reserve the right to contact the Kittitas County Health Department regarding any hazardous and/or emergency food sanitation issues or situations that may occur.
    When staff in a department is considering providing their own caterer for an event, it is important to understand the legal status of food. CWU responsibility for food relates only to food that is being sold, but "sale" is defined to include the supply of food in the course of a business, whether it is sold or given away. If a department provides food to visitors within that department, the food would be deemed to have been "sold" and would be within the scope of the university and the university official's responsibility. A small social gathering of departmental staff that provides food for themselves and for purely social purposes is not within the scope, but bringing in an outside caterer or vendor falls within the responsibility of the university.
    University faculty and staff members are strongly advised to not make their own private catering arrangements. In doing so they are taking on a responsibility in law for the supply. This responsibility rests with the University's catering department where they are the supplier of catering services.

  • Leftover Food

    Due to the regulations of the Kittitas County Health Department and catering industry standards, any food not consumed at an event may not be removed. Leftover food is the property of Catering Services.

  • Menu Selection

    Standard menus are available on the CWU Catering website, www.cwu.edu/~catering.
    State agencies can contact the Catering Manager at macri@cwu.edu or 509-963-1302 to discuss per diem menus.
    "Minimum order" is the size of the group or the number of people, relative to the price.
    To request service for fewer people, please contact the Catering Office at 509-963-1302 or email the Catering Manager at Macri@cwu.edu for pricing.
    Small groups are welcome to go through our food kiosks located in the Student Union building. Persons can pay cash or arrange in advance for meals to be charged to the sponsor's bill.
    Designing a menu for your event can be done with the assistance of the Catering Manager and the Catering Chef, who can be reached at 509-963-1302.
    Menus chosen less than ten days in advance are subject to availability. 72 hours notice is required in order to avoid a "late order fee."

  • <br /><br />

    Served Dinners & Buffets

    To ensure a successful event for your served dinner banquet, your menu selections are limited to two "meat" entree choices. When two entree choices are served, both entrees will be priced out at the cost of the higher entree.
    If a vegetarian or special diet is needed, the Catering Chef will prepare a fresh seasonal entree at the price listed on the Catering Served Dinners Menu.
    In the event that an unforseen Vegetarian or Special Diet accommodation is needed at the last minute during service, the Catering production staff will do its best in filling the request
    **All special diet needs are at the discretion of the Catering Chef.
    It is our desire to serve you promptly at the hour you select. Please let us know if there will be any pre-meal program or lengthy opening presentations. Normally we would let your group into the dining area approximately one-half hour before serving time unless a social hour is scheduled. This eliminates confusion and allows our staff to attend to final details without interruption. We appreciate your promptness and we will do our best to work around any last-minute delays you may encounter.

    If you have arranged for buffet service, we will begin at the time you select. Although our buffets are not designed as "all-you-care-to-eat", seconds will be allowed during the time between when the last guests have gone though the buffet line and when the food is removed. The amount of time the buffet is up will depend on the size of your group, but will not last more than one hour. If a more extended buffet time is required, additional labor charges will be incurred and the integrity of the food may be compromised.

  • Vegetarian/Special Dietary Needs

    It is the responsibility of the event host to find out if any special menus are required of their guests. We are able to accommodate most special meals with 10 days advance notice.
    **All special diet needs are at the discretion of the Catering Chef.

  • Guaranteed Numbers

    The planning for special events takes time and preparation. To provide the highest quality service, we require that you provide a guaranteed number of guests who will be served at the event. The guaranteed number must be finalized with our office 10 business days prior to the event. Charges will be based on the guaranteed number or actual number served, whichever is greater. If a guaranteed number attending is not provided to the Catering office 10 working days in advance, the number provided during the planning stages will be considered the guaranteed number.

  • Payment Requirements

    The budget number provided upon scheduling of your event will be processed within one week of the conclusion of your event.

    *Payment of half of the estimated catering charges is due 30 days prior to your event. 75% of this is fully refundable if cancellation notice is given 14 days prior to event. Fifty percent of the remaining half of the bill is due 10 days prior to the event. A bill for the remaining 25% and any last minute changes/requests will be sent out upon the completion of your event.

  • Deposits

    *Full payments for room rental deposits are due immediately to reserve the room appropriate to your needs. This deposit is non-refundable if not canceled six months prior to selected event date.

  • Service Costs

    Meal prices are based on a service time of one and a half hours. If your event is going to be longer than one and a half hours, or if a social, speaker or program is part of your event, please contact CWU Catering to have the event staffed to the conclusion of your program. We are happy to extend the service time for an additional charge. Service staff is billed at $15 per hour per server.
    Plated and served meals require approximately 1 server per 25 - 30 guests. Some meal prices do not include equipment, or service staff. Potential room rental, setup and custodial needs may incur additional costs. Please contact the Catering Manager for a quote for your event.
    For take out/delivery food orders, the food will be delivered, set-up, and then cleaned up after the event. It will not be attended during the event unless previous arrangements have been made for labor and additional charges will apply. If your event is over 50 people or involves re-filling a serving line, the event must be attended at the Catering Services pre-determined staffing levels and labor charges will be added to your final bill.

    *Meal prices are based on a service time of one and a half hours. If mealtime is going to be longer than one and a half hours, or if a social, speaker or program is part of your event, please contact CWU Catering to have the event staffed to the conclusion of your program. We are happy to extend the service time for an additional charge. Service staff is billed at $17 per hour per server. Plated and served meals require approximately 1 server per 25 - 30 guests. Some meal prices do not include equipment, or service staff. Potential room rental, setup and custodial needs may incur additional costs. Please contact the Catering Manager for a quote for your event.

  • Cancellation

    Cancellation and significant count changes received within 10 business days of the event may be subject to fees.
    Rain sites are requested for all outdoor events. Rain calls shall be made a minimum of 3 hours before an event.

  • <br />

    Tablecloths/Napkins/Skirting

    Tablecloths are included in the price of a meal for food related tables and seating tables when served or buffet style service is ordered.
    Tablecloths for tables other than food tables will be charged at $3.00 each.
    Linen tablecloths and napkins in white, cream, black, forest green, red and burgundy are available.
    All take out/deliveries set ups will include a tablecloth, at no additional cost, for a table provided by your department
    Any tables for food presentation that require skirting will be done at no charge for formal banquet and reception style service.
    Skirting can be provided for additional tables at $10.00 each.

    *Tablecloths are included in the price of a meal for food related tables and seating tables when served or buffet style service is ordered. Linen tablecloths and napkins in white, cream, black, forest green, red and burgundy are available. Additional cloths can be supplied at $3.00 each Any tables for food presentation that require skirting will be done at no charge for formal banquet and reception style service. Skirting can be provided for additional tables at $10.00 each.

  • Centerpieces & Decorations

    Centerpieces for seating tables and buffet tables are not provided by CWU Catering. Please coordinate with the Catering Manager on any centerpieces being provided for your event.
    We do not make specific provisions to decorate banquet seating tables - this is the clients responsibility. Decorations must be approved by the Catering Manager. Catering Services does not take responsibility for any decorations broken or left on the premise after an event.

  • Events

    Food and beverage charges for an off campus event must be at a minimum of $250.00. Any meals held off campus will have a $2.00 per person surcharge added to the menu price of the meal.
    Any unscheduled client requests for refills, additional foods, etc. will result in an additional charge.
    The Catering department does not have keys to campus buildings other than its own facilities. It is the group's responsibility to make sure that facilities are opened as arranged with Catering for efficient set up and tear down of the event. In general, 45 minutes prior to the event is sufficient for most events.
    The group is responsible for providing tables and trash cans for events held outside of a Catering facility building. There will be a table rental fee of $10.00 per table charged if tables need to be provided by CWU Catering.

  • Deliveries

    Delivery charges will be added when food or equipment is delivered off campus. Charges will be quoted on an individual basis once we understand the scope of your needs.
    For groups requesting multiple delivery locations simultaneously there will be additional fees incurred.

  • Pick Up Orders

    All food and beverage orders picked up by the customer will be discounted 10% off of the menu price.
    Orders may be picked up at the Tunstall Catering Office at the designated time arranged with the Catering office, unless otherwise instructed.
    Please bring a cart to transport all equipment, food and beverage.
    Equipment replacement fees will be charged if items are not returned.

  • Gratuities

    Catering Services does not add gratuities to your final bill. Gratuities are not required but are appreciated.
    Any tips acquired are deposited into a foundation account. The CWU Catering department has set up a scholarship account for student employees of the Catering department.

Prices are valid January 1st, 2010 - March 31st, 2012.
