3.1 CAH Office Hours

The business of the College of Arts and Humanities is handled during the 8am to 5pm workday, Monday through Friday. Therefore, it is the expectation that the secretarial and support staff of each department will assist the Chair or Dean to complete department business within those hours. If a department deems it necessary to have secretarial and/or support staff work outside these normal hours, then permission must be obtained through the Dean. The "Alternate Work Schedule Approval Form" will need to be filled out with the rationale for the change and be signed by the employee, the Chair and then sent to the Dean for approval. Any irregular arrangement needs to be reviewed annually.

3.2 Obtaining Signatures

Signatures for grant applications, travel approval, and all other matters requiring the Dean's signature must be submitted at least 48 hours in advance, or according to calendar deadline dates.

3.3 Grant Application Procedure

Before submitting a proposal for grant funding by an outside agency, applicants must complete a "Grant Pre-Proposal Acknowledgment" form, which can be found on the "Faculty Resources" link of the CAH website. The form asks for a description of the institutional support requirements of the proposed activity, such as in-kind matches, salary moneys, building modifications, reassigned teaching time, student assistance, computer equipment, etc.

No grant will be approved without the prior submission of the "Grant Pre-Proposal Acknowledgment" form. All final grant submissions must first be approved by the Dean, with at least a 48 hour advance for signature.

3.4 Appointments with the Dean

To obtain an appointment with the Dean, please call the Administrative Assistant at x1845 to schedule a meeting. Some matters can be attended to more quickly by telephone or e-mail, and you may prefer to use these options.

Normally, student issues are handled at least initially by the Associate Dean, as well as certain functions including summer session, program review, assessment, the curriculum process, accreditation, and other matters.

3.5 Form Submission

All form submissions, except those dealing with personnel matters, may be submitted electronically or in paper form. If submitting electronically, send to Kris Kilgore at: kkilgore@cwu.edu.

3.6 Registration after 10th day

The University reports to the State of Washington the number of full-time equivalent students who are enrolled as of the end of the tenth day of instruction each quarter. Any student registering for classes after the tenth day is not counted in that total and this has a negative impact on the funding the University receives from the state.

Therefore:

  1. Any registration received after the tenth day of instruction must be accompanied by a CAH Late Registration Form. The form is located on the CAH website and requires a explanation of why the student is registering for a class after the tenth day.
  2. This form is to be attached to the Schedule Change/Option Form and must be signed by the Department Chair.
  3. The Schedule Change/Option Form and the CAH Late Registration Form are then brought to the Office of the Dean for the Associate Dean's approval

It is imperative that each day of class (through the tenth day of instruction), faculty compare their class roster against those students present. Those students not on the roster must register if they are to remain in class. If we allow unregistered students to attend class, we are giving away state resources and are in direct violation of Washington State law.

3.7 Memberships in Professional Organizations

Individual faculty professional memberships are not eligible for payment by departments according to Washington state regulations: WAC 356-39-030, which stipulates that the cost of professional credentials is to be borne by employees. We cannot approve requests to pay professional memberships by faculty.

3.8 Emergency Phone Tree

In the event of an emergency closure of the University or other extraordinary situation requiring rapid communication across units, the following phone tree indicates the calling order to be observed:

Provost Office calls: Dean Marji Morgan who calls Associate Dean Michael Chinn
  1. Associate Dean Michael Chinn who calls the Administrative Assistant and the CAH Secretary.
    1. Kris Kilgore, Administrative Assistant calls:

    2. Lucy Rolfe, Secretary calls:
