Step 1: Hiring department chooses student employee
Step 2: Supervisor & Student complete the Intent to Hire Form
This process initiates the Hiring Forms (I-9 & Background check) for your student employees.
The student will receive 2 emails, one from HireRight and background check company & one from CWU/HR for the I-9 form.
The I-9 form process is two steps. First is to complete the online I-9 form through their Wildcat Connection login. Then the student will need to bring their Original Identification to complete these forms in the Human Resources Office located in Bouillon 140. The list of acceptable identification is on the following link: http://www.uscis.gov/files/form/i-9.pdf
Step 3: Supervisor & Student complete the Student Appointment Form. Both the Supervisor & Student need to sign this form. The Student should receive a copy and the original should be attached to their SPAF.
Step 4: Supervisor Completes the SPAF Form. Attach SPAF and Student Appointment Form Together. (please hold off on doing any 2013-2014 academic year WSPAF's and SPAF's as the iCat team is rolling out a new "paperless" process this summer for fall hiring. More info to come...)
Step 5: Run query to check student credits and I-9 status (Optional) CWHRD_SE_CHECK_CRED_ID_PRMT_B. The Dept can use this query to check to see if the student has registered for credits and has completed the I-9 form. This can be used to help your hiring process. If you need to know if the background check is complete please email seo@cwu.edu.
Step 6: Supervisor returns the SPAF & Student Appt Form to HR. MS 7425 or Bouillon 140. (This process will also change to a paperless process during the summer of 2013 for fall SPAFs)
*We are no longer using Pre-Employment Work Authorization Forms (Yellow Slips)
** If the student has already completed all of the hiring paperwork and/or worked on campus before the department will receive an email letting them know that the student is good to work on campus. This email is sent after the Intent to Hire Form is submitted.
***If the student has not completed all of the hiring paperwork after we receive the SPAF, the department will receive notification of what hiring paperwork still needs to be completed.
