Email and Intranet Guidelines and Recommendations
Purpose:This provides guidelines for use of Central Washington University-provided tools for electronic communication to the university's faculty, staff and students. These guidelines are recommended to assure consistency in the type of information authorized for general university dissemination, assure that the appropriate technology tool is used and to set consistent formatting standards.
These recommendations are not intended to govern the use of e-mail or related technology tools for communication with an individual or small group, nor is it intended to establish overall acceptable use policy.
Technology Tool Selection:Central Washington University has numerous technology tools available to disseminate information to faculty, staff, students and the community. The primary mechanisms are:
Each of these tools should be considered whenever general information is to be sent to a large group. Users will initially determine the appropriate tool(s) to use for their communication. All information submitted must comply with the CWU Acceptable and Ethical Use of Information Technology Resources Policy.
Campus Wide Email Lists (Internal SPAM):Items disseminated via campus wide email lists are subject to the following criteria:
Examples where use of campus wide email lists is appropriate:
The IT Department needs to notify the entire campus that a new virus has been detected, is infecting systems on campus and that users are not to open certain emails.
Facilities Management Department is notifying everyone on campus that a water main break is requiring that all water to the campus be shut-off immediately.
CWU Internet Website and Events Calendar:The CWU Internet site's primary use is for dissemination of information to external constituents including prospective students and their families, prospective employees and other community stakeholders. The current site is also used to disseminate general information to current employees and students. Items to be disseminated via posting on the CWU Internet pages must meet the following criteria:
CWU Intranet Website:The CWU Intranet website will be the primary avenue for disseminating information to all faculty and staff. Announcements can be posted by any CWU employee directly but will not be visible until the designated moderator accepts the posting. All announcements posted must comply with the CWU Acceptable and Ethical Use of Information Technology Resources Policy and meet the following criteria:
CWU Liability:Central Washington University provides the Intranet as an online resource for faculty, staff and students. Central Washington University is not responsible or liable for any loss or damage incurred as the result of use of this online service. Faculty, staff and students should use due diligence when placing and answering ads. Use of this service is entirely at your own risk.
Formatting Guidelines:Campus-wide Email:
E-mail is not controlled by strict guidelines for formatting, as this is normally an individual preference. However, to help maximize performance of the university e-mail servers and to minimize expenditures for larger amounts of disk storage for email, the following guideline is encouraged:
Use of hyperlinks to other information including web sites or files is highly encouraged. This helps to reduce the size and length of the e-mail while allowing the submitter to provide detailed information--without reproducing it and consuming unnecessary amounts of disk space on the mail server.
