President´s Cabinet

8:30 a.m. - President´s Office

Present: Jerilyn McIntyre, Wayne Quirk, Rich Corona, Charlotte Tullos, Ellen Hall, Libby Street

Guests: Steve Rittereiser, Carmen Rahm

I. At 8:30 a.m.: Steve Rittereiser regarding Catering

Steve Ritteriser joined the group to give an update on CWU catering. CWU Catering supports the mission of Central Washington University and strives to create a superior customer dining experience. They are committed to offering quality food and customer service that meets the individual needs of the university community as well as the off campus customer. Mr. Rittereiser explained that due to rising fuel costs, things just cost more now. The prices of some of the most basic things like flour, eggs, and milk have gone up considerably. Catering offers a 20% discount to on campus departments and they normally are not charged room rentals when catering services are used. The issue of using off-site catering was brought up. Mr. Rittereiser explained that CWU is responsible for ensuring that any food supplied in the course of business (whether sold or given away) satisfies Kittitas County Health Department Food Sanitation laws, rules, and regulations. When an off-site caterer is used CWU is still legally liable for anything that occurs. For that reason, outside food and beverages may not be brought on campus without the explicit written permission of the senior catering manager, senior director of conference, catering and retain services, and director of business services and contracts. On campus social potlucks and pre-game and post-game athletic activities are an exception to this policy. Mr. Rittereiser reported that this fall, Catering plans to establish a catering advisory group and will host a fall open house. Mr. Corona suggested that Mr. Rittereiser come to President´s Advisory Council some time this fall to give a catering update to that group as well. Ms. Dawson will work with Mr. Rittereiser to get this scheduled.

II. At 9:00 a.m.: Carmen Rahm update on the new Alert Email Notification System

Mr. Rahm Introduced Mike Luvera (Policies & Procedures) and Debra Feinman. Mr. Luvera is responsible for the policies and procedures portion of the new system, and Ms. Feinman is responsible for the IT portion. Mr. Rahm gave some background on the Alert Notification project. Ms. Feinman explained that in approximately a month we will be ready to use the system. She went over the schedule and added that communication will be key for this project. They are hoping to have a campus wide email go out under Dr. McIntyre´s email explaining that this is coming. There will also be Intranet announcements and voice mail messages. Dr. McIntyre suggested that it might be good to talk with each of the division groups: Academic Affairs Council, Business Affairs Council, ADCO, Faculty Senate, United Faculty of Central Fall, etc. Ms. Feinman will work with Public Relations and Marketing on communications. Mr. Corona suggested that Mr. Rahm bring this up at the next PAC meeting as well.

III. Action Items

1. Approval of Cabinet Minutes from August 20, 2008
Motion to approve the Cabinet Minutes from August 20, 2008 as presented by Mr. Corona. Seconded by Dr. Hall. No further discussion. Motion carried.

IV. Discussion Items

1. Enrollment Planning
The enrollment matrix and fall mini stats were distributed for review and discussion. Dr. Hall reported that Becky Watson and the ad hoc marketing group are working on a number of ideas for promoting courses by site. Dr. Quirk reported that a number of online courses are ready to launch fall quarter. Open and closed class lists were reviewed and discussed. Dr. Tullos reported that international student registration looks good.

2. Update on Governor Gregoire´s directive
Dr. McIntyre explained that the form that was developed for requesting exceptions to out-of-state travel and personal service contracts is ready for distribution. A notice will be in the University Bulletin and an email will go out campus-wide this week. Dr. McIntyre suggested that the vice presidents provide a report on their exceptions to her on a monthly basis. She would also like to have a quarterly report from each division explaining how they are spending their salary savings. Mr. Corona has developed a spreadsheet for tracking requests in his division. He will share that document with the rest of the Cabinet members in case they want to adopt the same type of spreadsheet for tracking exceptions.

3. Online Strategic Plans - Dr. Street
Dr. Street reported that Felicia Case at the Web office has linked division plans to the university strategic plan. The table of goals needs to be linked as well, so please get that information to Dr. Street as soon as possible.

V. Executive Reports

Provost/Senior Vice President for Academic Affairs:
Dr. Quirk reported that New Faculty Orientation is September 18, 2008. We have 80 new faculty on board this fall.

Vice President for University Relations:
Dr. Hall distributed a list of all the upcoming university events. They include:

Dr. Hall also distributed the Presidential Gala invitation for review and discussion. They hope to go to print with the invitation soon.

Vice President for Student Affairs and Enrollment Management:
Dr. Tullos reported that the new Hobson system is absolutely fabulous. The retention portion is amazing. Jenna Hyatt has developed a new parent initiative this summer. It´s called CWU Parent Family Programs. It provides the opportunity for parents to get involved throughout the year in planned programs and events such as focus groups, marketing opportunities, Discover! Orientation, Family Weekend activities, and assist with the formation of a new CWU Parent´s Association. It also allows the university to better address the issues that parents face throughout the year. Feedback has been very positive.

Vice President for Business and Financial Affairs:
Mr. Corona reported that a State of Information Technology Services report is currently being prepared for the Board of Trustees and for accreditation purposes as well. The Washington State Combined Fund Drive may be postponed a while. Mr. Corona will have more information on this soon.

Chief Planning Officer:
Dr. Street distributed the CWU Performance Agreement for review and discussion. She is still waiting on some data, so please get information to her as soon as possible. There is a special Board of Trustees meeting tomorrow to approve our agreement.

President:
No report. Dr. McIntyre had to leave early in order to get to Rotary.
