President´s Cabinet

Wednesday, October 10, 2007
8:30 a.m. - Barge 314 (President´s Office)

Present: Jerilyn McIntyre, Dave Soltz, Rich Corona, Charlotte Tullos, Libby Street, Julie Cloninger

Guests: Sherer Holter, Angela Beaudry, Staci Sleigh-Layman

I. At 8:30 a.m.: Sherer Holter regarding CWU´s Recruitment Plan

Ms. Holter explained that the Human Resources team worked with the Office for Equal Opportunity and representatives from various departments and employee groups to provide feedback and contribute towards the development of CWU´s recruitment strategy. Objectives identified by this group included: evaluating and enhancing the recruitment process for faculty, exempt, and classified employees, evaluating the technical tools (PeopleAdmin), resources, website, recruitment materials, and procedures that support the recruitment process, better defining the essential functions and competencies desired for vacant positions, marketing the university as an employer of choice and providing for a universal branding of recruitment and advertisements, and providing a coordinated plan for outreach to targeted communities. The recruitment cycle and the scope of search policy were reviewed and discussed. Cabinet members provided feedback and asked Ms. Holter to rework some of the documents and present to the group again in a few weeks.

II. Action Items

1. Approval of Cabinet minutes from 9.19.07
Motion to approve the Cabinet minutes from 9.19.07 as presented by Dr. Street. Seconded by Dr. Tullos. No further discussion. Motion carried.

III. Discussion Items

1. Update on committee reports & responses not yet received
Dr. Street explained that for accreditation purposes, we must have three years of committee reports and responses on file in the President's office. The group reviewed and discussed the documents that have been received to date.

2. Dean Hall construction (design plans, timetable, etc.)
Dr. McIntyre mentioned that it would be good for Cabinet members to hear a presentation on the Dean Hall renovation. Mr. Corona will follow up on this. He added that we are still on time for reopening the building next fall and that we have done extraordinary work to get this building done.

3. HECB Supplemental Budget presentation
Dr. McIntyre reported that the Higher Education Coordinating Board (HECB) is asking the institutions to give their supplemental budget presentations at WSU-Vancouver on October 25. The itinerary for the day has not been finalized. Dr. McIntyre will check to see if the other presidents are presenting or sending representatives. Dr. Street added that she will work with Linda Schactler on bullet points for the presentation.

IV. Executive Reports

Provost/Senior Vice President for Academic Affairs:
Dr. Soltz reported that many academic affairs folks participated in faculty collective bargaining training with Rod Younker yesterday. It was a very useful session. Interviews for the position of AVP for Faculty Relations are underway. The search committee for the Acting Dean of CEPS has been formed. Dr. Soltz met recently with Bill Bonaudi, President at Big Bend Community College, regarding the Flight Technology program there. It was a very positive meeting.

Vice President for Student Affairs and Enrollment Management:
Dr. Tullos reported that Student Affairs and Enrollment Management folks have begun to receive calls from legislative staff asking for responses on a variety of issues. She added that they will respond to these folks in a timely manner and copy Ann Anderson and Libby Street on their responses. Final enrollment numbers for this quarter will be available soon.

Vice President for University Relations:
Ms. Cloninger reported for Dr. Baker. CWU will recognize Don and Verna Duncan, both CWU alums, for their commitment to students by naming the Civic Engagement Center and a music studio in the CWU Music Building in their honor. The unveiling will be today at 1:30 p.m. in SURC 256 and then at 3:00 p.m. in the Music Building Concert Hall. Ms. Cloninger is currently working on a master holiday card list for the President´s Office. A mailer is going out to all employees this week explaining the process of giving by payroll deduction and what your money can support.

Vice President for Business and Financial Affairs:
Mr. Corona reported that planning for the Moody site visit October 23-24, 2007 is coming along. The SAFARI upgrade is scheduled to go live October 18-26. SAFARI will be down for a few days in preparation for the "going live" date. The university community will receive notification by email.

Chief Planning Officer:
Dr. Street reported that she has met with two of the divisions regarding standard one for the accreditation progress. The History Book is currently at the indexer and Glen Bach will visit the publisher soon. CWU´s Federal legislative consultants are trying to organize a trip to Washington, DC for Amy Mumma so she can meet with legislators and highlight our World Wine Program. Dr. Street reminded Cabinet members that they are all on the schedule to meet with the executive interns some time this quarter. Dr. McIntyre emailed the university community earlier this week to solicit a call for state-funded capital budget request for 2009-2011. Requests are due no later than October 17, 2007.

President:
Dr. McIntyre suggested agenda items for the meeting with the local legislators later today. Cabinet members were reminded to submit their self-evaluations as soon as possible. Dr. McIntyre asked Ms. Cloninger to follow up with Dr. Baker to see if the commencement speaker for June 2008 is confirmed. Judy Miller will be setting up an orientation for our newest trustee, Keith Thompson.

V. Progress Reports

1. District Rotary - Dr. McIntyre reported that the District Rotary is scheduled to be on campus in April 2008. Many events will be associated with this district conference.

2. Travel Policy - Dr. Street asked if the travel policy had ever come back for final approval. She will follow up with Toni Burvee on the issues.

3. Chuck McIntyre - Dr. Tullos reported that Mark Lundgren contacted Chuck McIntyre to let him know his services were no longer needed. Dr. Street added that a final copy of his report must be filed in the president´s office. She will follow up with Mark Lundgren to make sure this happens.

4. Enrollment Planning - Dr. Tullos gave an update on recruiting efforts for freshmen and transfers for winter and spring 2008. She also updated the group on recruitment efforts for fall 2008. Admissions staff have a variety of ideas to augment current recruiting activities.

5. Accreditation - Dr. Soltz reported that Tracy Pellett has developed a matrix of expectations and will be monitoring the data gathering. He will be working closely with Connie Lambert and Jim DePaepe. Dr. Street added that Phil Backlund sent out the templates to all of the academic departments. The templates for other departments will be distributed soon.
