MinutesPresident's Advisory CouncilWednesday, June 7, 2006 Present: Jerilyn McIntyre, Dave Soltz, Rich Corona, Charlotte Tullos, Paul Baker, Libby Street, Meghan Miller, Michael Ogden, Josh Nelson, Judy Miller, Becky Watson, Leslie Webb, Shelly Johnson Guests: Jeffrey Dippmann, Sherer Holter, Ed Day, Pat Stanton, Steve Rittereiser I. Action Items 1. Approval of PAC Minutes from 5/3/06 & 5/17/06 II. Informational Item 1. Changes to the Payment Card Security Procedures (Policy was approved by PAC May 17, 2006 contingent on these procedural changes) III. For the Good of the Order Becky Watson, Director, Public Relations & Marketing: Dr. Watson reported that the university catalog is going to press today. Public Relations and Marketing is working with local media on coverage for commencement. There will be several stories featuring students and each media outlet will receive a different story. Shelly Johnson, Director, Budget Planning: Ms. Johnson reported that it is business as usual in her office. She is working with the Office of Financial Management (OFM) on the upcoming budget biennium. Michael Ogden, Chair, Faculty Senate: Dr. Ogden began by thanking Dr. McIntyre for the privilege of participating in President's Advisory Council this past year. He added that the Faculty Senate had a very productive year. Some of the group's accomplishments include: significantly streamlining the grading policy, finalizing the final exam week policy, rationalizing the foreign language requirement for admissions and graduation, developing a new policy on academic dishonesty, developing a new catalog narrative format for all departments, adding new Minors and BA programs, and cleaning up policy language in the curriculum policy. They also added a senator for both the Lynnwood and Des Moines Centers and one at-large senator to represent the other centers. Leslie Webb, Co-Chair, Diversity Council: Ms. Webb reported that she is eagerly awaiting new appointments to the Diversity Council. She is also restructuring the meeting schedules for the upcoming year and identifying leadership for each of the commissions. Josh Nelson, Chair ADCO: Dr. Nelson gave some background on ADCO. He added that there are two issues that continue to be discussed regularly. Those include: the Department Chair's role in faculty collective bargaining and department secretary position descriptions. Karen Blair will be ADCO's representative on PAC next year. Judy Miller, Board Secretary: Ms. Miller distributed the current Use of State Funds for Entertainment, Public Relations, University Promotion and Recruitment policy for review and discussion. Mr. Corona introduced Pat Stanton who then explained the proposed changes to the group. He added that several of these additions are current practice within the accounting office, but are not included in the official policy. Ms. Miller will discuss the "Killian Guidelines" with Kim Loranz and report back. The rest of the group will review this document with their employees and send suggested changes to Pat Stanton. The policy will come back to PAC at a later date. Meghan Miller, Dean, College of the Sciences: Dean Miller commended Dr. Ogden and the Faculty Senate for all of their work this year. She also thanked all of the dept chairs collectively. All of the colleges are hosting awards ceremonies to recognize students. The deans are also working on implementation of faculty workload plans. Dean Miller will be attending the Harvard Institute for Management and Leadership in Education Program in two weeks. She thanked the Dr. McIntyre and Dr. Soltz for supporting this endeavor. IV. Executive Reports Provost/Senior Vice President for Academic Affairs Dr. Soltz reported that the Honors Convocation scripts will be distributed today. Dr. Soltz thanked Dr. Ogden and the Faculty Senate for their productive year. He also thanked Dr. Nelson for suggesting the quarterly lunch department chairs. This has been a very successful event. The provost will continue to do this each year. Academic Affairs is working on implementation of the faculty workload plans. Budget development is underway. Dr. Soltz added that he is extremely impressed with the Spheres of Distinction proposals that have been received in Academic Affairs. Science honors graduates will be recognized for the first time this year at Honors Convocation. Vice President for Business & Financial Affairs Mr. Corona reported that the FMS system is up and running. There are some glitches, but several employees are working hard to handle issues and solve problems. Mr. Corona thanked employees in Accounting and ITS for all of their efforts in getting this new system up. Many employees have put in countless hours. ITS is installing wireless in Tunstall this week and will be launching their new Web-based Helpdesk service soon. Mr. Rahm recently visited Liberty Lake Internet Exchange near Spokane. They have a state contract for providing computer center, disaster recovery space, etc. in a large/modern computer center. ITS is looking at them for possible redundancy of critical system, offsite disk to disk backup of critical data, and possibly for providing a redundant service to the Internet. Vice President for Student Affairs & Enrollment Management Dr. Tullos reported that Mike Reilly will make a presentation titled "Where are the Boys?" at the Student Affairs subcommittee of the board on Friday. The article focuses on the demographics of male vs. female students and their educational attainment. It will be a very interesting discussion. Paid deposits for fall are currently at 1510. Admissions will remain open for a few more weeks. The search committee for the AVP for Enrollment Management has been formed. Vice President for University Relations Dr. Baker reported that the John Moawad Jazz Scholarship concert was June 3. This was the first of an annual event. Athletics Hall of Fame fundraising is proving to be very successful. Executive Assistant Dr. Street reported that Kim Loranz has reviewed the issues of the Speaker's Bureau and has offered feedback. We are clear to go forward with that process. Season tickets for next year's Performing Arts and Presidential Speaker Series are on sale now at the Scheduling Center. Dr. Street asked the group to encourage employees to notify the Art Selection and Permanent Collection committee if there is art in their buildings that they believe is university property. They are trying to develop a complete university inventory of all art on campus. President Dr. McIntyre reported that she participated in a COP conference call yesterday. The discussion focused on a response to the Governor on questions she recently posed to the group. A common letter is being drafted and will be sent to the Governor soon. V. Information Items 1.
