Leaving CWU


Supervisor's Duties
1.  Obtain resignation or retirement letter from the employee and forward to Human Resources at Mailstop 7425

2.  Terminate or Retire employee via MyCWU: Main Menu > Human Resources > Manager Self-Service > CW Transactions > Terminate/Retire Employee (The departing employee will appear on a daily Checkout Notice provided to applicable departments)

3.  Ensure employees who supervise staff have re-assigned their employees to another supervisor in Manager Self Service

4.  Provide employee the Knowledge Transfer Template if necessary

5.  Confirm employee has returned CWU property (keys, parking pass, computers, mobile devices, tools, safety equipment, uniforms, etc.)
(Items can be returned to Human Resources, if necessary)

6.  Obtain voicemail password

7. Have employee add an Out of Office email notice with replacement's contact information, if necessary. If no notice is added, a general message directing inquiries to the CWU Directory or service desk will be generated

8. Remove access to department list-serves and accounts

9. For eligible retirees, submit a letter of nomination for distinguished service to Vice President or follow process to request faculty emeritus status as appropriate.

Employee's Duties

1.  Submit resignation/retirement letter to your supervisor stating your last day of employment

2.  Complete the online Exit Survey – a link will be sent via email from your HR Partner

3.  If you have questions about your benefits, contact Benefits at (509) 963-2269 or

4.  If you have questions about how your vacation cash-out may affect your taxes or you are transferring to another state agency, contact Payroll at (509) 963-2221

5.  Return the following items (as applicable):

  • Connection Card
  • CWU Keys to the Lock Shop in Jongeward
  • Parking Permit
  • All CWU property (computers, mobile devices, tools, safety equipment, uniforms, etc.)
  • Library Materials

Note: Items can be dropped off in person at Human Resources office

6. Reset voicemail password and inform your supervisor

7. Add an Out of Office email notice with current contact information.

8. Reassign direct reports in Manager Self Service

9. If mailing address will change, update in Self Service to ensure W-2 is mailed to correct location
