July 10, 2001

VP Issues:

Nasser is a member of the university’s Development Oversight Committee. This committee reports to the President and is recommending fund raising priorities.

Nasser reminded the managers that all staff evaluations are to be completed by July 31 (for the last calendar year).

Development council meets next week. Agenda items will be discussion on Exempt Salaries and a presentation by Steve Rittereiser on Managing Difficult Situations.

Nasser will be sending information out to the campus community regarding motor pool training (for driving CWU vans) that is available at no charge for those wishing to use a motor pool van. Anyone wishing to drive one of Central’s 15 passenger van must have completed the training prior to requesting a van.

The Legislature has funded the first phase of the Music Building with $14 million for this biennium.

There will be an August Board of Trustees Retreat.

AVP Issues:

It is being recommended to the Board of Trustees that Dennis Defa, Zippy Nickerson, Rosco Tolman, Robert Trumpy and Richard Corona serve as the Negotiating Team for Management for Bargaining Unit II negotiations. Gene Rau and Ona Youmans will serve as alternates.

Custodial Costs – Rich will be meeting with representatives of Facilities, Housing, Dining and Conferencing to discuss overall custodial costs and services for housing and dining.

Parking Lot U-8 (by Peterson Hall) will be reconfigured – The lot needs repair work and will be reconfigured to allow 20 general parking spaces in the center along with 10 30-minute spots along the east curb. Other parking will be available close by at lot V-7 for employees and visitors.

The Public Safety and Police Services currently has 2 openings for police officers. The posting closed on July 3, 2001.

Rich indicated that a representative from Public Safety and Police Services will meet with the City of Ellensburg Police Department to discuss alcohol issues and how a situation, like the one on 19th street last spring, could be better handled in the future.

Rich informed the group that the Office of State Procurement is initiating a handling charge of $180 that we will have to pay to that office for processing papers to relocate a new employee.

Financial Services Issues:

SAO update

Housing audit – we have submitted the information to the state.

Management letter items – we are waiting for one department to respond to complete our response

Upcoming audit – The next state audit will be in September or October

FY 2002 audit – There is a new state requirement that the audit must be done by the end of October (this does not include the financial statement prepared by CWU)

Accounting update -

Year-end close is progressing well. Everyone is working together to make this as smooth as possible. Joe expressed his appreciation to the staff. The final run is scheduled for tomorrow night and the plan is to clean up any loose ends on Thursday.

FMS – receipts are being processed; purchasing and accounts payable should be caught up to date by next week.

Staffing – We have received the list for the two vacant accounting principal positions and will be scheduling interviews soon. We hope to have this position filled by August 1.

7/25 payroll – We have extended the deadline for submission of PAF’s for new salaries effective 7/1/01 to be reflected in the July 25, 2001, payroll.

Gift Policy rewrite – Joe will review the existing Gift Policy with Norman, Bill and Rich and bring recommendations for changes to the BAC.

BOT items for the August meeting need to be turned in by July 23.

State revolving fund charges will be changing – We will not process any revolving fund invoices until we receive more information from OFM.

CTS Issues:

Possible increases in MicroSoft software costs to CWU

Norman will attend the academic administrative assistants meeting tomorrow at 2:00 pm to discuss unanswered issues from the 5/21 Caroline Onstot memo on secretarial workload.

Facilities Management:

Bill distributed a draft Campus Site and Development and Master Planning Committee (CS&DMPC) document for review and requested input from the group.  Nasser will take the proposal to Cabinet.

A Partnering Session at Edmonds may be scheduled for next Thursday.  Bill will keep Nasser informed.
