July 3, 2001

VP Issues:

Nasser discussed the option of faculty receiving their contracted salary over twelve months rather than the academic year. Faculty will have an opportunity to sign up for this option in the fall. If there is sufficient interest in this option by faculty, it will be available for the next academic year.

Nasser distributed the 2001-02 Annual Budget as approved by the legislature.

Nasser reviewed the Cabinet meeting. Enrollment is down 104 compared to the summer enrollment at this time last year. However, paid deposits for fall are up 202 compared to paid deposits at this same time last year.

FMS is live as of 7/2/01. The system is available until 10:00 PM each night.

Nasser asked if we had received the last of the audit reports. We have not received all the audit pieces at this time. Joe will contact the auditor to find out when this will be available.

Mailing labels with inaccurate addresses is a problem. Each time a wrong address is corrected by the Post Office, the originating department is charged $.50. However, unless the addressee fills out a change of address for CWU, we cannot automatically update addresses. The Human Resources’ staff is looking into methods for improvement.

Nasser presented Bill Vertrees with a letter from University Relations and a plaque from the Ellensburg Daily Record in honor of CWU voted “Best of the Best” for a place to ride your bike.

AVP Issues:

Access to computers for conferencing – Norman indicated that the problem is being worked on and Terry Niles is setting up a program to randomly select pin numbers that will allow conference attendees’ computer access.

Microsoft has property available for rent in Bellevue – Nasser will take this information to Cabinet.

Financial Services Issues:

FMS - Russ Elliott reported that there have been no major problems with the 7/2/01 go-live of FMS. Checks have been cut, PO’s processed, vouchers created, invoices processed, and the BRS feed is working. All staff members assigned to the project are expected to return to their original departments August 1. Several reports are being monitored this month. Carry-forwards (positive or negative) need to be done. Russ will provide an updated schedule to Nasser. On-line requisitioning is not scheduled at this time. Nasser complimented Jana for her presentations. Nasser expressed his appreciation and congratulations to all the staff that have worked on this project.

Joe has talked with the financial advisor for QUALF and Auxiliary capital projects and has scheduled a meeting for next week on Wednesday to start the process.

End of year concerns – Joe discussed the calendar for the end of the year (00-01) processes.

The bank contract is due for renewal and we are pursuing an extension for one year.

Edmonds Building COP – Joe informed Bill that CWU has received authorization to enter into a financing contract under RCW 39.94, pursuant to SSB 6155 and provided Bill the documents necessary to process the contract.

Payroll Issues – There is a problem with many students not being entered on the system for summer payroll. The payroll supervisor has sent out an email informing departments that we will try to make a special accommodation this payroll period, but that in the future, departments need to be sure and process the student personnel action forms in a timely manner.

Capital project request for redesign/reallocation of workspace – Joe is requesting that we look into a redesign of space on the second floor of Mitchell Hall.

CTS Issues:

Red letter day for CTS – CTS will continue to emblazon red CWU letters on all computer items of $300 or more. This is in support of the University’s risk management policy as defined through SAAM section 30.30.10.

963-8000 and 963-8002 access the expanded dial-up modems. This brings 96 modems on line for use by students at 963-8000 and 48 modems on line for use by faculty at 963-8002. Thank you to all involved.

Planned change in delivery of computers directly from central services to the end user worked well for the delivery of computers to Lind Hall. We are fine-tuning the process at this time.

July 10, 2:00 pm to 3:30 pm, Barge 412, Norman will be meeting with administrative assistants to answer questions raised in a memo distributed by Caroline Onstot.

Facilities Management:

Bill Vertrees asked the status of COP leadership for the current year. Central will hold the chair positions.

Edmonds construction is beginning. Bill will follow-up and let Nasser know if there is going to be a partnering session scheduled for next week. If so, Nasser will attend.

As a follow-up to last week’s minutes, BPA has signed an agreement with the City of Ellensburg and the City of Ellensburg is now preparing a similar contract with Central. Next Tuesday ABACUS will have a contract ready to sign to accomplish BPA City of Ellensburg Conservation Augmentation (conAug) work.

Co-location centers - Preliminary indications are that General Administration will manage the Highline project (SeaTac moving to Highline); Central’s emphasis will be on the academic programmatic issues. Nasser will discuss this with the Provost.

Chelan PUD may be interested in the co-gen possibility. Bill is looking into this.
