Minutes

February 13, 2001

VP Issues:

Nasser reviewed the Cabinet meeting from last week.

The legislative bills that may have impact for CWU were reviewed.

February 23 is the new closing date for bids on the sale of the Old Hospital.

Exempt Evaluations are due April 2.

Nasser asked the directors to review, consolidate and submit changes to the division’s measurable units list.

AVP Issues:

As a follow up to concerns expressed about smokeless tobacco in the computer labs, Rich indicated that there is not a law against smokeless tobacco or expectorating. However, there is a concern for damage to computer equipment that these may cause and therefore the policy of no smokeless tobacco or expectorating will be enforced in the computer labs.

Rich informed the council members that we are ordering new parking signs for several of the parking lots to make information more easily visible. The logo won't change.

Shaw/Smyser is having an indoor air problem again. There are also vibrations in two rooms to the extent that faculty are having difficulty conducting classes in the rooms. The Facilities Management Department is looking into the problem.

Police Services is experiencing 911 hang up calls. The problem seems to be a conflict with long distance dialing. When placing a long distance call, if you hit the “1” twice by mistake, it automatically is a 911 call. We have recently logged 190 false calls to Kittcom. Telecom will be asked to look into this problem and see if another number could be used for long distance access.

Financial Services Issues:

1098T forms have been sent.

W-2 forms have been sent.

1099 and 1042 forms have gone out.

CTS Issues:

Info Item: Norman distributed the Telecommunications 5 year business plan (draft). Norman asked the council members to please review this document and send him any comments.

Newsletter questions – FMS frequently asked questions will be published in the ASSP newsletter. This will provide helpful information to the user community.

Notice of Resignation – Dan Burns will be leaving as of March 9, 2001.

Norman reported that a computer has been stolen from Hebeler. This is a reminder that computer lab doors must remain locked at all times.

Facilities Management:

Bill shared the John Wayne Trail Study.

Bill shared the current mail rates charged by the United States Postal Service.

Bill shared a Department of Energy memo regarding a proposal from BPA to construct a transmission line through central Washington.

ASSP Issues:

W-9 Forms -- vendor update. Forms were sent to all vendors asking for updated information to prepare for the FMS implementation. Unfortunately, the forms also went out to students or employees that have received A/P checks for reimbursement from the university. These forms are only intended for those that are “vendors.” Students and employees should disregard these forms.

The Financials Module implementation is progressing. Peoplesoft consultants will be here next week. Joe distributed a draft FMS training plan. This Thursday there will be a functional user training session. We are considering bringing the Basic Query training here on campus rather than sending people to class out of state.  We will be sending key people to the Users Conference during the third week of March.
